Quality Regulatory Coordinator
The Quality Regulatory Coordinator will provide specialized knowledge of specific food safety and quality systems segments, such as food safety and quality auditing, instrumentation, computer systems, supplier oversight, and other needed focus areas. Technicians will prepare and participate in customer audits and partner with internal and external teams to address customer requirements and concerns.
Essential Functions

- Create, complete, and maintain customer-requested food safety/quality documentation.
- Ensure all documentation requirements follow customers’ and FDA specifications/expectations and are completed promptly.
- Ensure that all documents are reviewed and updated yearly.
- Supervises and maintains the company’s Trace Gains and ensures that all supplier documentation is available, up-to-date, and accurate.
- Ensure production records, internal audits, and other Quality Systems documentation are filed, stored, and archived in accordance with record retention policies.
- Verify that all documents are reviewed and updated annually
- Maintain the document registries and ensure that the document controllers for each department are trained on the proper documentation format and procedure
- Review and assign document control numbers to all forms and procedures (SOPs) within the company.
- Approves, verifies, and communicates disposition of incoming raw materials:
- Approval of compliant Certificates of Analysis (COA)
- Communicate deviations and non-conformances with suppliers and internal teams.
- Maintain disposition records in addition to cataloging COAs and other supporting documentation for future reference.
- Ensure that the documentation needed for all new materials is uploaded and assigned in the appropriate system.
- Review all material documents to ensure that they meet the required standards.
- Rotating lead for Food Safety Team Meetings, including setting the agenda, facilitation, note-taking, and assigning action items. Ensures that SWP food safety plans are in conformance with regulatory requirements
- Backup Regulatory, Rabbinical/Religious, and Organic programs, including document submissions, on-site audits, and internal/external document processes (electronic and manual).
- Support plants’ readiness for governmental, 1st, 2nd and 3rd party audits (including BRC.)
- Author, revise, and audit departmental policies and procedures.

Knowledge, Skills, and Abilities
- Intermediate skill level working with Microsoft Word, Outlook, Excel, Access, SAP, and supply chain management software, such as TraceGains.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, and customers.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Required education and experience
- High School Diploma with advanced science and math courses completed.
- A bachelor’s degree in food science, chemistry, or another science field is preferred.
- A minimum of 3 years’ experience in quality assurance and/or food manufacturing.
- Experience with Hazard Analysis Critical Control Point (HACCP), Standard Operating Procedures (SOP), Safe Quality Food (BRC), FDA, FSIS, or USDA standards are strongly preferred.
- HACCP, BRC, or ISO 9001 Certifications or training preferred.
Work environment and physical demands
- While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hands, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, and talk/hear.
- Occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, ability to see color, and ability to adjust focus.
Pay and Benefits
The pay range for this position is $24.04 - $28.85/hr.
