Summary of Position:
The Development Coordinator serves as a vital support member for the fund development team and the Theatre’s staff, members, and donors. Principal responsibilities include grant writing, stewardship activities, administration tasks such as, scheduling, attending meetings and taking minutes, and gathering data to produce reports and some event and logistic coordination, with a shared value on creating a welcoming environment of belonging for all.
This is a hybrid position with approximately 70% of work being in-person and 30% of work being remote. Working alongside Actors Theatre of Louisville’s fund development, production, and events schedule, this position requires availability on some nights and weekends.

The Essential Functions include, but are not limited to, the following:
Administration
- Attend regular standing meetings and additional meetings as assigned.
- Self-manage and self-motivate by setting priorities, completing tasks in a timely manner, and scheduling your time appropriately.
- Document learnings and make well-researched recommendations for adjustments in conversations with the leadership team
- Supporting scheduling and coordinating calendars for the development team
- Support data management and creation of reports for fund development activities
- Attend Development meetings; take minutes/notes.
Fund Development – Stewardship, Grants, Database Management
- Maintain accurate record-keeping of donors and members for information and retrieval analysis in Spektrix. Prepare reports as requested. Support template creation in Spektrix and creation of custom reports for fund development
- Prepare mailing data and materials such as acknowledgment letters, solicitations, and email communications and execute in a timely manner. Email communications would support membership, donor, and board members communications only in tandem with the Communications team.
- Work with fund development team to write grant proposals that align with the organization's mission and goals; work collaboratively with all team members to gather information and data for proposals; submit grant applications in a timely manner and track progress of applications; support the stewardship and cultivation efforts of the fund development team with foundations; draft thank you’s from the Director of Development and other leadership team members to foundation. Support grant reporting efforts and compliance.
- Support the Director of Development with maintaining corporate sponsorship data, reporting, and acknowledgement.
- Support ATL team with stewardship and communications for our membership program and promotion(s).
Events and Community Engagement
Support event entry and logistics in coordination with the fund development team, facilities, and Radical Hospitality. Support attendance tracking, acknowledgements for donors and sponsors. Participate when requested in grassroots efforts if needed to amplify ATL’s mission and upcoming performances.

Other duties as assigned by the Leadership team
Knowledge, Skills, and Abilities:
- Two years of experience working in nonprofits, community organizations, and/or fund development (including knowledge of grants management) with a preference for experience in arts and culture organizations
- Ability to work in front of a computer monitor for extended periods.
- Ability to prioritize appropriately and manage a hybrid work schedule with varied hours.
- Capacity to be aware of and in control of emotional wellness and be able to handle interpersonal relationships judiciously and empathetically.
- Strong ability to analyze and use data to support creation and management of reporting for leadership team
- Ability to work as an effective team member and maintain a positive attitude in stressful situations.
- Strong interpersonal skills are required to support agency-wide personnel and end users of varying skill and experience levels
- Ability to develop and present information clearly, concisely, and accurately
- Effective communication and presentation skills in critical situations, both orally and in writing
- Demonstrated ability to work collaboratively across multi-functional teams working towards a common goal
- Must have a reliable vehicle and valid driver’s license.
- File organizational skills and basic knowledge of Microsoft Office Suite, donor database(s), and Teams/SharePoint or similar communication and file organization platforms.

- Affinity for and knowledge of the arts and theatre community, understanding its dynamics and desire to cultivate connections within the cultural landscape
