Job Title: Administrative Assistant

Position Summary

The Part Time Administrative Assistant oversees the general administrative functions and activities of the office and is responsible for maintaining office services including ordering and maintaining office supplies. The Administrative Assistant works closely with HR, finance, and management and accepts delegated tasks as assigned to ensure the office runs smoothly. This position is part time with a schedule of 8am to 12pm Monday through Friday.

Responsibilities will include:

  • Manage entry badge system
  • Organize and schedule meetings
  • Partner with HR to maintain office policies as necessary
  • Support the accounting department with data entry
  • Coordinate with IT department on all office equipment
  • Manage relationships with vendors, service providers, and suppliers
  • Provide general support to visitors
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondence is controlled, filing systems are designed, and clerical functions are monitored
  • Order supplies and maintain inventory
  • Maintain a safe and secure working environment
  • Handle customer inquiries

Required Experience & Knowledge

  • Proven office skills including administrative experience
  • Ability to prioritize tasks and complete them in a timely manner
  • Excellent time management skills
  • Strong organizational skills
  • Proficient in MS Office and computer skills
  • Effectively communicate with peers and interdepartmental colleagues
  • Demonstrate accountability, attention to detail, and organizational skills

Education Requirements:

  • High School diploma or equivalent education and experience.
  • Background in business management or business administration preferred.

Work Environment / Physical Demand

  • Works in an office setting
  • May sit at a computer for long periods of time
  • May lift up to 25 pounds with or without assistance
  • May travel between facilities in Eugene as needed
