The ideal candidate will be self-motivated, detail-oriented, and comfortable managing a variety of administrative tasks, including answering calls and email inquiries, assisting with billing, coordinating with various insurance companies, and scheduling new client appointments.
Job Description:
As an Office Assistant, you will play a key role in ensuring our office operations run smoothly by managing administrative responsibilities. This includes answering calls/emails, responding to inquiries, coordinating schedules, assisting with billing, and supporting the team with self-directed tasks. The position requires a candidate who thrives in a remote work environment, demonstrates initiative, and is comfortable handling multiple responsibilities at once.
Key Responsibilities:
- Answer and direct phone calls in a professional and courteous manner
- Address general inquiries from clients, staff, and visitors, providing excellent customer service
- Schedule appointments and meetings, coordinating with team members as needed
- Manage office calendars and scheduling software to keep appointments organized and efficient
- Assist with billing tasks, including invoicing, payment tracking, and processing
- Perform general office tasks such as filing, data entry, and organizing office supplies
- Handle routine administrative tasks with minimal supervision, ensuring deadlines are met
- Support the team with various projects as required
