Job Description:
As the Receptionist/Administrative Assistant, you will be the first point of contact for clients, visitors, and vendors. In addition to providing excellent customer service, you will assist with billing, inventory management, and other administrative tasks to ensure the smooth operation of the firm. The ideal candidate will be highly organized, detail-oriented, and comfortable with a wide range of responsibilities in a fast-paced legal environment.
Key Responsibilities:
- Greet clients, visitors, and vendors in a professional and friendly manner, ensuring they have a positive experience at the firm.
- Answer and direct phone calls, taking messages and scheduling appointments as needed.
- Open and maintain client files, ensuring all relevant information is properly documented and organized.
- Assist with preparing and organizing legal documents, including scanning, filing, and data entry.
- Assist the billing department by processing billing information, preparing invoices, and maintaining accurate billing records.
- Support inventory management, including ordering and tracking office supplies and equipment.
- Assist with other administrative duties, such as handling correspondence, preparing meeting rooms, and scheduling meetings.
- Coordinate with legal staff and other departments to ensure seamless office operations.
- Provide general administrative support to attorneys and other staff as needed.
- Maintain confidentiality and handle sensitive information in accordance with legal and firm policies.
Qualifications:
- High school diploma or equivalent (Associate’s degree or higher is a plus).
- 2 years of experience as a receptionist or administrative assistant, preferably in a law firm or professional office environment.
- Familiarity with billing and accounting procedures in a legal or professional services setting.
- Strong organizational skills and the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with legal billing software (such as Clio, TimeMatters, or similar systems) is a plus.
- Excellent communication and interpersonal skills.
- Attention to detail and accuracy in handling client information and financial records.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Strong customer service skills and a professional demeanor.
Preferred Qualifications:
- Experience with office inventory management or procurement.
- Knowledge of legal terminology and processes, including file management.
- Prior experience in a law firm or legal environment is highly preferred.
