A prestigious, nationally recognized law firm is seeking a skilled and motivated IP Litigation Secretary to join its Bay Area office. Position Overview
The IP Litigation Secretary will provide high-level administrative and litigation support to attorneys focused on intellectual property matters, including patent, trademark, and copyright disputes. The ideal candidate will be experienced, detail-oriented, and comfortable supporting a busy IP litigation practice.
Key Responsibilities
- Prepare, edit, and format legal documents including pleadings, discovery, motions, and correspondence
- File documents electronically in State and Federal courts, including PTAB and ITC proceedings
- Manage and maintain attorney calendars, including court deadlines, hearings, depositions, and travel schedules
- Coordinate client communications and maintain professional relationships with clients, experts, and court personnel
- Organize and maintain case files, both electronic and hard copy, ensuring accuracy and accessibility
- Assist with trial preparation, including exhibit binders, witness lists, and court logistics
- Collaborate with paralegals, legal assistants, and other team members to support litigation workflow
Qualifications
- 5 years of experience as a litigation secretary, with at least 2 years in IP litigation preferred
- Familiarity with patent and trademark litigation, including PTAB and Federal Circuit procedures
- Strong knowledge of Federal and State court rules and e-filing systems (e.g., PACER, ECF)
- Proficiency with Microsoft Office Suite, Adobe Acrobat, and legal document management systems
- Exceptional organizational skills, attention to detail, and ability to multitask in a high-volume environment
- Excellent written and verbal communication skills
- A proactive, professional, and team-oriented attitude
