Job Purpose
- Ensures efficient and effective service operations within the shop.
- Coordinate and prioritize service requests to ensure timely and efficient service.
- Compile service tasks for technicians on a daily schedule.
- Receive service-related issues and complaints, escalating to the Fleet Manager as necessary.
- Responsible for ordering, delivery, and tracking of supplies or parts to expedite flow of materials.
- Calculate figures, such as required amounts of labor or materials, using pricing schedules, adding machines, calculators, or computers.
- Compile and prepare documentation related to maintenance and repair orders.
- Track and compile repair information so that status reports can be completed.
- Confer with department supervisors or other personnel to assess progress and discuss needed changes.
- Contact suppliers to verify shipment details.
- Establish and maintain vehicle preventive maintenance schedules
- Distribute work orders to departments.
- Examine documents, materials, or products and monitor work processes to assess completeness, accuracy, and conformance to standards and specifications.
- Maintain files, such as maintenance records, annual DOT inspections, bills of lading, or cost reports.
- Provide documentation and information to account for delays, difficulties, or changes to cost estimates.
- Requisition and maintain inventories of materials or supplies necessary to meet repair demands.
- Utilize Fleetio or other fleet management software to track repair compliance and communicate needs to mechanics.
- Track, store, and replace necessary part inventory as necessary.
- Report and update availability and repair status.
- Analyze business processes and identify opportunities for improvement through software solutions.
- Create and update documentation and user guides for common issues and solutions.
- Provide training and guidance to users on software applications, system functions, and best practices.
- Provide daily status updates to ops.
- To be able to sit, stand, walk.
- To work in an environment that often smells musty, putrid, or rancid.
- Ability to lift 50 lbs.
- To work near moving mechanical parts.
- High school diploma or equivalent; additional education or certification in automotive technology or a related field is a plus.
- Proven experience within an automotive or service shop environment
- Strong organizational and multitasking skills with the ability to manage multiple service requests simultaneously
- Excellent communication and interpersonal skills.
- Proficiency in using computer systems and software, including service management systems and office applications.
- Knowledge of automotive systems, particularly diesel repairs, and terminology is beneficial.
