Position Summary
The Intake Coordinator is a key member of the admissions team, responsible for facilitating the intake process for new patients and ensuring a smooth and welcoming experience for individuals and their families. This position requires strong organizational, communication, and multitasking skills, as well as the ability to work collaboratively with the admission nurse and other team members.
Primary Duties and Responsibilities
- Coordinate Intake Scheduling: Collaborate with the admissions team to schedule patient intakes efficiently and in alignment with program availability.

Facilitate the Intake Process:
- Work with the admission nurse to complete all required admissions paperwork, including consent forms, Releases of Information (ROI), and other documentation.
- Conduct a body search and assist with obtaining UDS (Urine Drug Screen) and BAC (Blood Alcohol Content) tests.
- Perform a thorough luggage search to ensure patient and facility safety.
- Measure and document patient vitals as part of the triage process.
- SmartCare System Management: Use the SmartCare system to admit patients into the program, update bed board information, and manage relevant intake data.
- Transportation Coordination: Arrange patient transport as needed to ensure timely and seamless transitions.
- Cross-Training as Admissions Specialist: Develop the skills to serve as a backup admissions specialist, providing support as needed.
- Monitor Intake Lobby: Serve as the first point of contact for all new admissions, maintaining a professional and welcoming environment.
- Greet Families: Welcome patients and their families with compassion and professionalism, providing reassurance and guidance during the intake process.
Skills and Qualifications
- Education: High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration, social work, or a related field preferred.
- Experience: Previous experience in healthcare, admissions, or a related field is preferred.
- Technical Skills: Proficiency with SmartCare or similar electronic medical records (EMR) systems is a plus.
- Interpersonal Skills: Strong communication and customer service skills, with the ability to work effectively with patients, families, and team members.
- Organizational Skills: Ability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.
