Job Description :
The Administrative Assistant will be responsible for managing client communications, assisting with order processing, ensuring all documentation is accurate, and providing ongoing support to various departments. This role demands a professional attitude, attention to detail, and the ability to multitask effectively to meet client needs and deadlines.
Key Responsibilities :
- Business Knowledge : Learn and understand all areas of the business to support the team effectively and contribute to company goals.
- Phone & Email Management : Answer incoming calls on the first ring with a friendly, professional attitude and follow up on management's email communications until project completion.
- Client Inquiries : Respond to client inquiries quickly and professionally, ensuring accurate and efficient resolution of requests.
- Product Promotion : Offer and suggest company products during each client interaction via phone or email.
- Order Processing & Tracking : Proactively track orders to ensure timely shipments and resolve any shipping delays.
- Client Communication : Maintain organized communication with clients and follow up until project completion.
- Document Accuracy : Inspect all documents and artwork for detail and accuracy before sending to clients for approval.
- Order Verification : Match orders to invoices and ensure backordered items are shipped promptly.
- Commission Tracking : Oversee and ensure timely and accurate commission payments.
- File Maintenance : Maintain accurate and up-to-date records daily.
- Trade Shows : Attend at least three trade shows per year (each requiring one week of travel) to represent the company and network with potential clients.
- Lead Conversion : Convert leads into orders and build long-term client relationships.
- Software Management : Use sales and management software to track customer interactions and workload.
- Data Reporting : Utilize Excel to generate reports and manipulate data for analysis.
- Local Travel : Occasionally travel within the Oklahoma City Metro to meet with clients in person.
- Professional Representation : Maintain a professional and polished appearance when representing the company.
- Team Support : Assist other departments as needed to ensure smooth operations.
