ADEC is currently seeking an HR Administrative Assistant to manage the front desk area at the Bristol administrative office, including answering/directing all incoming phone calls, greeting visitors, tracking incoming and outgoing faxes, metering and distributing mail and providing administrative support to the HR team.
Key Responsibilities:
- Provide the skills of receptionist, including reflecting a favorable image of ADEC and a cheerful manner toward all who walk into the office.
- Operate the agency-wide switchboard system, which requires having a warm and pleasant telephone manner and ability to relate well to a wide variety of people inside and outside the agency.
- Assist Recruiting Specialist with completing background checks, reference checks, and employment verifications on all new staff candidates.
- Scan all new staff files and check for file completion. Assist with inputting new employees into HRIS.
- Input and scan new staff and annual training for employees in ADP.
- Conduct annual background and driving checks for current employees, including Office of Inspector General’s List of Excluded Individuals and 3-year county checks.
- Assist with monthly Human Resources reporting and contacting employees regarding agency compliance.
- Assist with maintaining HR software and training systems.
- Process invoices, cost them out, and turn into Accounts Payable on a timely basis.
- Track employee discipline as turned in by managers, including tracking that progressive discipline is followed. Track Performance Improvement Plans, alerting managers and Director of Talent Management when about to expire.
- Provide administrative support to the Human Resources team as needed.
Job Requirements:
- High school diploma/GED.
- At least 3-5 years of receptionist and administrative assistant experience.
- Demonstrate strong customer service, communication, dependability, time management and organizational skills.
- Strong computer skills, including familiarity with Word, Excel, Power Point and use of social media preferred.
- Must have a strong sense of integrity, professionalism, and discretion. Must be able to work well as a team to help maintain Human Resource’s goal of continuous improvement, strong customer service, and example of desired leadership.
