Job Summary : The File Clerk will play a vital role in managing and organizing important records, documents, and files at Adorn Medical Spa. This position involves maintaining both physical and digital files related to client treatments, billing, and spa operations. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage sensitive information confidentially. Key Responsibilities : Document Filing : Organize and file all incoming documents, including client records, medical forms, treatment histories, and billing documents, ensuring proper categorization for easy retrieval. Record Maintenance : Maintain and update client records regularly, ensuring that files are accurate, complete, and properly stored. Confidentiality : Handle sensitive client and spa information with discretion, ensuring that all records are maintained in a secure and confidential manner. Document Retrieval : Efficiently retrieve and provide requested documents to spa staff as needed for client appointments, treatment updates, or administrative purposes. Digital File Management : Assist with scanning and digitizing physical records into the electronic filing system to reduce paper use and improve efficiency. File Organization : Regularly review and organize files to ensure records are up-to-date and easily accessible. Identify outdated records for proper archiving or disposal in compliance with legal and company guidelines. Inventory Management : Monitor the stock of paper files, folders, and other office supplies related to filing, and notify the office manager when supplies need to be reordered. Assist with Audits : Support audits and record checks as required to ensure compliance with regulatory and company policies. General Office Support : Provide occasional administrative support as needed, including sorting mail, organizing office supplies, and helping with other clerical tasks. Qualifications : Experience : Previous experience as a file clerk, administrative assistant, or in a similar organizational role is preferred but not required.
