What are the responsibilities and job description for the Trade Show Coordinator I position at Adtran?
The Trade Show Coordinator is responsible for the planning, organizing, and executing of global industry events and trade shows, corporate events, and general meetings for the organization. This role is also responsible for all operational, implementation, and post-event activities.
Duties and Responsibilities
- Coordinate logistics and deliverables for trade shows including booking booth and meeting space, registering personnel, managing housing, managing shipment of exhibition assets to and from events.
- Work closely with internal and external event planning committees and client groups to define event goals, objectives, and specific implementation plans that promote the organization's brand.
- Work with vendors, e.g. ADTRAN's booth vendor, show vendors, etc. to ensure timely, cost-effective execution. Negotiate agreements with outside providers and subcontractors to ensure the lowest cost and highest quality of service.
- Assist in the creation and send of preshow and post-show communications, both internal and external.
- Source venues, recommend and engage catering, acquire supporting technology, and coordinate the development of materials to execute a quality event.
- Prepare, pack and ship trade show and exposition materials as well as develop and oversee process to inventory trade show equipment, optimize show prep process, and return of all goods and equipment.
- Supervise, direct, and coordinate the activities of subcontractors, and vendors as required to successfully execute all aspects of the event on the scheduled delivery day.
- Track expenses and assist in complete financial reconciliation. Ensure processing of show leads in CRM system and distribution to sales force as well as ensure processing of show leads in CRM system and distribution to sales force.

- Other projects and assignments may result and be assigned to accommodate the changing needs of the department and the Company.
Basic Qualifications
- Bachelor's Degree in Business Administration, Marketing or a related field is required.
- 0-2 years of previous experience in Event Management or a related field is required. Knowledge of CVENT Event Management system a plus.
- Proficiency in Microsoft Office: PowerPoint, Excel, and Word required.
- Business travel is expected in this position.
Preferred Qualifications
- Knowledge of CVENT Event Management system preferred.
