**Job Summary:**
Administrative Assistant. We are a leading company in the industry, dedicated to improving mental health in our community and with our clients.
**Responsibilities:**
50-70% of the job is scheduling new clients
- Provide high-level administrative support to psychotherapists, including managing calendars, scheduling meetings, making copies and making training and travel arrangements.
- Call back prospective clients, schedule them, and provide excellent customer service.
- Assist in preparing reports, presentations, and correspondence for meetings.
- Maintain organized filing systems, both physical and digital, to ensure efficient document management.
- Coordinate and oversee special projects as assigned by the owner and other staff.
- Handle incoming and outgoing communications.
- Perform general office tasks such as data entry, proofreading documents, and front desk duties, office cleaning.
**Skills:**
-Extreme attention to detail with the ability to manage multiple tracking systems at a time.
-Knowledge of HIPAA and the importance of confidentiality and discretion
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to prioritize tasks effectively.
-Humility: the ability to role switch from aiding clients to helping clincial staff with their day to day needs
- Excellent communication skills, both written and verbal.
- Experience in project coordination and multitasking.
- Customer service-oriented with a professional, friendly and welcoming demeanor.
**Preferred Skills/Experience:**
- Previous experience as an executive assistant or in a similar role.
- Knowledge of proofreading techniques and attention to detail.
- Ability to handle sensitive information with confidentiality.
- Experience with data entry and maintaining databases.
