Accounts Payable / Accounts Receivable (AP/AR) Specialist

About Us:
We are a specialized customs brokerage firm focusing on the importation of perishable goods. Our team ensures the seamless clearance and compliance of fresh produce, seafood, and other time-sensitive commodities through U.S. customs and regulatory agencies. We are seeking an experienced AP/AR Specialist to manage financial transactions related to import duties, vendor payments, and client invoices in a fast-paced environment.
Job Responsibilities:
Accounts Payable (AP):
- Process vendor invoices, ensuring accuracy in pricing, duties, and freight charges.
- Verify and reconcile invoices with purchase orders and import documentation.
- Manage payments to suppliers, carriers, and regulatory agencies (e.g., CBP, FDA, USDA).
- Monitor and resolve discrepancies with vendors and internal teams.
- Maintain accurate records of AP transactions and assist in month-end closing.
Accounts Receivable (AR):
- Generate and issue invoices to clients for brokerage services, duties, and fees.
- Track nd follow up on outstanding payments, ensuring timely collections.
- Reconcile customer accounts and resolve billing discrepancies.
- Process and apply customer payments, including wire transfers and ACH transactions.
- Prepare AR aging reports and escalate overdue accounts when necessary.
General Accounting & Compliance:
- Ensure proper documentation of financial transactions in compliance with industry regulations.
- Assist in financial audits and reporting related to import duties and tax filings.
- Maintain organized records of invoices, payments, and supporting documents.
- Collaborate with operations and customs entry teams to ensure financial accuracy.
Qualifications & Skills:
- 2 years of experience in AP/AR, preferably in customs brokerage, logistics, or import industries.
- Strong knowledge of customs duties, import tariffs, and international freight billing.
- Proficiency in accounting software (e.g., QuickBooks, CargoWise, or similar systems).
- Familiarity with HTS codes, customs clearance processes, and FDA/USDA import regulations is a plus.
- Strong attention to detail, problem-solving skills, and ability to work under tight deadlines.
- Excellent communication and organizational skills.
- Proficiency in Microsoft Excel and financial reporting tools.
