JOB SUMMARY
We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure the efficient operation of the office and assist in various administrative tasks, including managing schedules, coordinating meetings, handling correspondence, and supporting other departments as needed.
JOB DUTIES AND RESPONSIBILITIES
- Maintain office supplies inventory and ensure the office is adequately stocked
- Oversees the smooth day-to-day operation of the office, including maintaining office equipment and coordinating repairs
- Assist in organizing and maintaining physical and digital filing systems
- Serve as the point of contact for visitors and clients, providing a welcoming and professional atmosphere
- Assist with customer inquiries, directing them to the appropriate person or department
- Enter and update data into company databases, ensuring accuracy and completeness
- Assist with quoting customer jobs based off technician surveys entered into service geeni.
- Assist with ordering parts and needed items for technician jobs.
- Assist with special projects and tasks as assigned, contributing to team goals and departmental success
- Other responsibilities/duties may be assigned as required
JOB REQUIREMENTS AND MINIMUM QUALIFICATIONS
· High school diploma or equivalent (required); Associate’s or Bachelor's degree preferred
· Strong written and verbal communication skills
· Proven experience as an administrative assistant or in other administrative roles (1-3 years preferred)
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
· Strong written and verbal communication skills
· Ability to work independently and in a team-oriented environment
· Highly detail-oriented
· Reliable and punctual
· Must be able to drive a company vehicle
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.
