We are a fast-paced and growing chiropractic office dedicated to providing exceptional care to our patients. Our office environment is high-energy, dynamic, and focused on delivering outstanding customer service. We are looking for a dedicated, detail-oriented Office Manager to join our team and help us manage day-to-day operations efficiently.

Position Overview :

The Office Manager will play a key role in ensuring smooth and effective operations of the practice. This position requires a highly organized, professional individual who can handle multiple responsibilities in a fast-paced environment. The ideal candidate will be proactive, have excellent communication skills, and thrive under pressure while maintaining a positive and welcoming environment for patients and staff.

Key Responsibilities :

  • Office Operations Management : Oversee daily office activities to ensure smooth operations and a positive patient experience.
  • Patient Scheduling & Reception : Manage appointment scheduling, patient check-in / check-out, and coordination of patient flow.
  • Billing & Insurance : Handle billing and coding for insurance claims,
  • Staff Supervision & Training : Supervise administrative staff, provide training, and ensure adherence to office protocols.
  • Patient Communication : Respond to patient inquiries, provide information about services, and address concerns in a timely and professional manner.
  • Inventory Management : Monitor office supplies and ensure adequate stock of medical and office materials.
  • Compliance & Record Keeping : Ensure patient records are up-to-date and maintained in compliance with HIPAA and other regulations.
  • Office Environment Maintenance : Ensure that the office environment is clean, organized, and welcoming at all times.
  • Other Duties : Perform other administrative tasks as needed to support the chiropractic team.

Qualifications :

  • Proven experience as an Office Manager, Administrative Assistant, or similar role, preferably in a healthcare or chiropractic setting.
  • Strong knowledge of office management systems and procedures.
  • Excellent verbal and written communication skills.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • High level of professionalism and customer service orientation.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite and office management software (experience with chiropractic software a plus).
  • Knowledge of HIPAA regulations and patient confidentiality protocols.
  • Ability to work well in a team and manage staff effectively.
  • Preferred Qualifications :

  • Experience working in a chiropractic or healthcare office is a plus.
  • Knowledge of chiropractic terminology and procedures.
  • Familiarity with insurance verification and coding.
