PRIMARY FUNCTION:
Assist the Accounting department with administrative support including but not limited to data entry, processing, and recording transactions, updating the ledger, assisting with audits or fact-checking, and preparing reports.
JOB DESCRIPTION:
- Processes supplier invoices by entering specified data into the company’s computer system.
- Issue invoices to customer from SAP One or create manual invoices.
- Receives and processes incoming mail.
- Matches freight tickets and PO’s with invoices and ensures their accuracy.
- Processes all payable vouchers following established guidelines forwarding to supervisor for review.
- Processes W-9 forms to be forwarded to vendors and prepares 1099’s.
- Handles supplier inquiries regarding invoices.
- Maintains accounts payable records, files and logs as required.
- Performs entry of payments from customers; updates and runs proof for verification of receivables.
- Communicates with customers regarding deductions and credit memos as required.
- Provides clerical assistance as needed to facilitate the flow of work such as answering phone, making copies, and greeting guests at the front door.
- Maintains good housekeeping standards in assigned area.
- Performs all duties following established safety procedures and guidelines using assigned safety equipment.
- Performs other duties as required.
- Multitasker with exceptional communication and time management skills.
- Should be thorough, accurate, and honest with good bookkeeping skills.
Requirements
JOB KNOWLEDGE:
- Must have general knowledge of accounting principles, practices, and procedures.
- Must be familiar with the company’s supplier service objectives and procedures for processing supplier invoices.
- Must know the company policies and procedures for accounts receivable collections and the overall procedures within the accounting department.
- Must be familiar with company products and terminology.
- Requires basic clerical and computer skills.
- Must have knowledge of V-Lookup and basic Excel.
- Must know the specified computer codes, programs, and software applications.
- Requires good math skills. Requires the ability to maintain specified records, files, and logs and to assist with the financial recaps and reports.
- Must have good communication skills, both written and verbal.
- Requires skill in the use of basic office equipment, calculator, and fax.
EXPERIENCE OR EQUIVALENT:
- Two-year associate degree with emphasis on accounting with a background in business administration business and computer courses is desired.
- Previous data entry experience/training is required.
- Additional technical training of up to two years in accounting, tax and computers would be helpful.
- Minimum of 2 year’s experience with Microsoft Word, Excel and Outlook required.
- Good driving record is required.
CONTACT WITH OTHERS:
- Interacts frequently with coworkers and other departments in the exchange of information.
- Has outside contact with specified accounts payable or credit managers where a high degree of tact, courtesy and business etiquette is required to maintain a positive company image.
CONFIDENTIAL DATA:
- Has access to payment histories of customers, credit information, sales figures, purchase orders, accounts receivable and cash balance information which are confidential and should not be disclosed.
RESPONSIBILITY FOR ACCURACY:
- Most errors would be detected during proofing, verification, subsequent procedures, and computer systems.
- Undetected errors could result in confusion, delays and be time consuming to research.
- Some errors could have negative impact on customer relations.
