We are looking for:
Advanced Systems Group LLC. is seeking an experienced Production Coordinator to join our high-performing team and ensure all supported production offerings are documented appropriately and executed successfully.
Job Responsibilities:
- Participate in initial client reservation workflow Communicate all show-related information to production team
- Schedule crew for upcoming shows and events.
- Provide continued monitoring of production schedule as shows are updated and modified
- Cross-reference crewing calendars to ensure accuracy with available resources
- Prepare and maintain event-specific documentation for operators to prepare for events, always ensuring details are accurate and up to date
- Proactively identify and escalate issues, as necessary
- Coordinate with production team to ensure that assets from customers have been requested and received prior to event day
- Maintain a database of event history, in order to quantify activity and provide proactive service for repeat clients
- Update and maintain the entry of event-related data for tracking and metrics
Qualifications & Experience:
- A minimum of 3 years of event production experience
- Experience with document collaboration and process documentation
- Excellent organizational skills, with the ability to manage multiple simultaneous projects and requests
- Strong prioritization/awareness skills, always following through with great attention to detail
- High level of professionalism and the ability to be helpful and maintain composure under pressure
- Knowledge of Apple Keynote, Pages, and Numbers
- Demonstrated mastery of macOS and iOS
- Experience with Shortcuts and scripting a plus
- Experience with Scheduling software a plus
- Ability to work on-site in Cupertino 5 days a week
- Flexible to alternate between daytime, nighttime and weekend hours, based on event schedules
