Advent Talent Group is seeking an experienced Executive Assistant to support the Vice President of Programs at a local non-profit focused on improving the lives of children, families, older adults, and promoting environmental sustainability, the arts, and humane treatment of animals. Overview :
- Contract – 3-4 months
- Hybrid schedule – Eden Prairie, MN
- days on Fridays!
- 65.00-$75.00 / hr.
Responsibilities :
Manage the Vice President's complex calendar, coordinate high-level meetings, and handle all travel arrangements, including detailed itineraries and international travel logistics while demonstrating exceptional attention to detail and proactive planning.Compile and prepare critical documentation including quarterly board books, monthly Executive Program Review materials, and detailed meeting minutes, requiring strong organizational skills and ability to follow up with multiple stakeholders.Process expense reports, manage vendor contracts and invoices, and maintain accurate financial tracking spreadsheets while handling confidential information with the utmost discretion.Coordinate across program divisions with different Managing Directors to maintain the master Programs calendar and ensure smooth communication flow between teams and stakeholders.Support the Programs office with additional administrative duties including team retreat planning, membership management, consultant contract administration, and general correspondence.Qualifications :
Bachelor's degree with at least 5 years of Executive Assistant experience supporting C-Level executives.Exceptional written, editing, and communication skills with a service-oriented mindset.Proven ability to handle competing interests, maintain confidentiality, and manage complex travel arrangements (including international).Strong interpersonal skills, cultural competence, and the ability to build relationships with stakeholders at all levels.Advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, with experience in Microsoft SharePoint and CRM preferred.Eligible employees will enjoy the following benefits with Advent Talent Group :
