Responsibilities
- Manage and maintain Executive’s calendar, including scheduling of corporate meetings, employees’ weekly check-ins, travel booking, professional and personal events.
- Host onsite meetings, including scheduling, sending reminders, ordering catering, greeting guests, and completing follow-up tasks.
- Book travel arrangements including flights, hotels, rental cars, restaurant reservations, and site tours.
- Manage the Executive’s inbox: flag emails that need immediate attention, respond to emails on behalf of the Executive as needed, manage the archive folders, follow cyber risk prevention best practices.
- Handle confidential and sensitive information/documents with discretion.
- Organize and maintain shared task boards with Executive, prioritize tasks appropriately, monitor deadlines, and complete assignments with excellence.
- Coordinate document signing and delivery of signed documents to the appropriate parties.
- Work closely with the Executive on projects supporting the Organization’s goals and collaborating with other members of the team as needed.
- Draft and/or edit speaking points, documents, and presentations.
- Read submissions, letters, agendas, memos; determine importance; and manage accordingly.
- Open, sort, and distribute mailed correspondence.
- Track/submit credit card expenses and complete monthly coding.
- Coordinate the renewal of Executive’s professional licenses.
- Maintain a database of usernames and passwords for the Executive.
- Ad hoc tasks as assigned
Requirements
Education:
- Bachelor’s degree preferred.
- High School Diploma or GED
Experience:
- 5 years of Executive Assistant experience preferred, 5 years’ experience in supporting administrative roles minimum.
Skills/Abilities:
- Strong interpersonal, oral and written communication skills.
- Exceptional communication skills and ability to interact with wide range of people.
- Must be organized, detail oriented and have good time management skills.
- Ability to work a flexible schedule.

- Ability to perform the physical functions of the position, which may include, but are not limited to: ability to walk property, including up to 4 flights of stairs.

Compensation and Benefits for Executive Assistant:
Pay Range: $63,700 - $83,700
Compensation is determined by several factors that vary depending on the position, including the individual’s experience, skills, and the knowledge they bring to the specific role.
