We are seeking a highly skilled and experienced Freelance Events Manager to join our US-based team. As a freelance Events Manager, you will be responsible for planning, coordinating and executing various events on behalf of our internal teams. Your expertise in event management, experience in the event industry, attention to detail and strong organizational skills will play a vital role in the success of each event.
Responsibilities:
As a freelance Event Manager, you will work on a variety of Capgemini events and event-related projects. Including executive-style client dinners, tradeshows, internal leadership meetings, multiday conferences, sponsorships and more. In some cases, you will manage event workstreams that are a part of a larger event, in other cases you will own managing the event end-to-end.
Event Planning and Strategy:
- Collaborate with internal team members to understand their event objectives, budget, and desired outcomes.
- Develop comprehensive event plans, including timelines, budgets, and resource requirements.
- Conduct venue research and recommend suitable locations based on event requirements.
- Collaborate with the Capgemini creative team or outside agency partner(s) to create event concepts, themes, and designs that align with the client's brand and vision.
- Coordinate with venues, vendors, suppliers and contractors to ensure timely delivery of services and products.
Event Logistics and Execution:
- Manage all logistical aspects of events, including venue/environmental setup, audiovisual equipment, demos, catering, transportation, and accommodations.
- Oversee event registration, guest list management, and communication with attendees.
- Coordinate event marketing and promotional activities to maximize attendance and brand exposure.
- Provide on-site supervision and support during events, ensuring smooth operations and timely problem-solving.
- Collaborate with event staff and volunteers to delegate tasks and ensure efficient event execution.
- Develop pre-event briefing guides for Capgemini attendees
- Develop event run of show, production schedules and day by day schedules.
Budget Management:
- Develop and manage event budgets, ensuring cost-effective solutions and adherence to budget guidelines.
- Negotiate contracts with vendors and suppliers to secure favorable pricing and terms.
- Track expenses, review invoices, and reconcile financial records to ensure accurate budget management.
Event Evaluation and Reporting:
- Conduct post-event evaluations to assess the success of the event against established objectives.
- Analyze attendee feedback and post-event data to identify areas of improvement for future events.
- Prepare detailed event reports, including key metrics, budget analysis, and recommendations for future events.
Qualifications:
- Proven experience as an Events Manager or similar role, preferably as a freelancer.
- Corporate Events experience is a plus.
- In-depth knowledge of event planning and management principles, practices, and industry trends.
- Strong organizational skills and ability to multitask, prioritize, and meet deadlines.
- Excellent communication and interpersonal skills to liaise with clients, vendors, and event staff.
- Proficient in event management software, project management tools, and MS Office Suite.
- Attention to detail and problem-solving abilities to handle unexpected challenges during events.
- Flexibility to work irregular hours, including evenings and weekends, based on event schedules.
- A portfolio of successfully executed corporate events will be an advantage.
