Advocate Warriors LLC is seeking a dedicated and passionate professional to join our growing team as our office administrator. This role involves providing excellent customer service, completing secretarial tasks, and representing the company as the face clients encounter first when walking into our clinic. Educational Requirements
· Individuals must have a high school diploma

Qualifications
· Strong verbal/written communication and organizational skills
· Strong interpersonal skills and the ability to build rapport and provide compassionate customer service to a diverse client base.
· Understanding of cultural diversity and child welfare practices
· Strong computer and typing skills with the ability to operate or learn the operations of varying computer programs.
· Efficiency with Google applications, word, excel, PowerPoint, and pdf.
· Ability to move independently or with reasonable accommodation within the facility.

· Demonstrate the ability to work in a fast-paced environment, moving from one task to another quickly and with ease.

Responsibilities
· Answer all incoming calls, taking messages, and/or routing calls to appropriate destinations
· Return all voicemails/texts/emails/faxes efficiently and in a timely manner
· Maintain office organization and cleanliness
· Ensure timely completion of tasks, including clinic director requested tasks
· Process patient payments and maintain accurate financial records
· Assist with scheduling appointments and sending client paperwork to current and/or prospective clients on time and quickly
· Manage staff timesheets/invoices and ensure payroll receives all documentation needed each pay period
· Ensure all materials and supplies are available and complete store runs to purchase supplies when needed
· Monitor incoming mail, send to appropriate departments, make electronic copies, and file mail accordingly
· Be knowledgeable about all services offered at the clinic and answer all questions from current or prospective clients
· Communicating and maintaining relationships with all departments, vendors, staff, and associates
· Updating company policies and procedures as needed
· HR coordination for new hires
· Manage internal communications
· Taking notes and creating reports for all meetings
· Creating and managing client lists for all staff
· Regularly auditing electronic health records to ensure organization and compliance
· Managing clinic waitlists
· Managing accounts receivable
· Accurately document all communication with clients, providers, and outside providers in the electronic health record. The record must be kept current, complete, and accurate always
· Attend all associated staff meetings, training, or other meetings requested by clinic director
· Maintain positive relationships and rapport with clients, family members, coworkers, and community partners
