Position Overview :

We are seeking a highly organized and efficient Office Administrator to manage office operations, including assisting with scheduling, handling communication between field teams and clients, and providing general administrative support. You will play a key role in maintaining the seamless day-to-day operation of the office, while supporting leadership in executing company initiatives.

Compensation : $23.00 - $25.00 per hour, depending on experience

Work Hours : Monday - Thursday 8 : 30am - 5 : 00pm

Key Responsibilities :

  • Assist in scheduling and coordinating meetings, appointments, and travel.
  • Handle incoming phone calls, emails, and general office communication.
  • Process incoming and outgoing mail and packages.
  • Maintain filing systems, ensuring accurate record-keeping and documentation.
  • Assist with invoicing, billing, and payroll preparation.
  • Track project-related paperwork, ensuring all documentation is up-to-date and properly filed.
  • Assist with Accounts Payable (AP) and support Accounts Receivable (AR) functions.
  • Coordinate with external vendors and clients to facilitate smooth office operations.
  • Qualifications :

  • 2 years of administrative experience, preferably in a construction or electrical environment.
  • Minimum 1 year of experience with QuickBooks Online.
  • Experience with Accounts Payable (AP) and assisting with Accounts Receivable (AR).
  • A Certified Notary Public or willingness to obtain certification within 60 days of hire.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Experience with office management software is a plus.
  • Ability to work well both independently and as part of a team.
  • High attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to maintain confidentiality and manage sensitive information.
  • A positive attitude and willingness to contribute to a collaborative work environment.
  • Salary : $23 - $25
