The Regional Assistant Office Manager is responsible for coordinating and performing clerical duties as required in the programs to which assigned. The Regional Assistant Office Manager will oversee and train all office staff in their region. Minimum Education Required
High School Diploma / GED
Responsibilities
- Analyze and organize office operations and procedures, requisition of supplies, and other clerical services in collaboration with Senior Office Manager
- Evaluate office production, revise procedures, or devise new forms to improve efficiency of workflow in collaboration with Senior Office Manager
- Establish uniform practices and ensure practices are followed in collaboration with clinic leadership
- Supervise, provide feedback and train office staff in all responsibilities. Provide backup coverage when required
- Insure administrative budgetary restrictions are met
- Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records in collaboration with Advocates’ Records Department.
- Direct, develop and produce special projects as directed within region
- Collaborate with clinic leaders to ensure intake procedures are followed
- Collaborate with clinic leaders to ensure medication scheduling workflows are followed.
- Answer phones providing information to service providers and support to program clients.
- Responsible for monitoring the up-keep of the site.
- Maintain a welcoming, trauma informed, culturally sensitive environment and treatment approach
- Attends and actively participates in supervision and staff meetings.
- Attend trainings as assigned; maintains necessary certifications (CPR, First Aid).
- Adhere to all principles related to the Advocates Way.
- Assist with medical tasks, as required.
- Strictly adhere to all HIPPA regulations and maintain confidentiality at all times
- Ensure that individuals we support are treated with dignity and respect in accordance with Advocates’ Human Rights policy.
- Perform all duties in accordance with the agency’s policies and procedures.
- Strictly follow all agency Performance Standards.
