What are the responsibilities and job description for the Clinic Service Coordinator position at Aegis Sciences Corp?
The Clinic Service Coordinator will work closely with Aegis Healthcare clients and float to multiple locations to pick up, package, transport, and ship specimens in his or her designated territory on a routine basis. Additionally, he or she will collect biological specimens at client sites as needed. Collection duties will include maintaining the integrity of the collection process, maintaining records for reporting purposes, obtaining initial insurance verification information for billing purposes, and packaging the specimens for shipment. He or she will also utilize and support FLUID (ELR – Electronic Lab Requisition) adoption as well as train clients and other team members on the process and implementation. The Clinic Service Coordinator will also assist with onboarding of new hires as well as train/mentor Specimen Collectors, Field Service Coordinators, and new Clinic Service Coordinators.
Essential Duties & Responsibilities:
- Foster open communication between the client and Aegis Sales Management
- Float to multiple clinics to pick up, package, transport, and ship specimen samples to Aegis
- Assist with onboarding of new hires
- Train/mentor Specimen Collectors, Field Service Coordinators, and new Clinic Service Coordinators
- Increase touch base meetings with new clients as well as train clients on Aegis processes and FLUID (Electronic Lab Requisition – ELR)
- Ensure the integrity of each Laboratory Request Form and specimen sample
- Keep records of samples shipped and shipping information associated with each
- Retrieve results via the Aegis Web Portal and deliver to client
- Monitor collection supply levels for each client and order when necessy
- Follow the standard operating procedures (SOPs) for sample collection
- Ensure the integrity of each ‘Chain of Custody’ and sample
- Ensure sample requisitions are complete and all information is correct
- Utilize Electronic Lab Requisitions (ELR) “FLUID” for sample submissions
- Answer questions from client/patients regarding Aegis policies
- Complete and maintain required Compliance Training
- Comply with all applicable safety requirements including the use of personal protective equipment (PPE)
- Order supplies and manage budget with RSM and ASM as required
- Verify insurance information through Passport as needed
- Request/collect payments from patients (where applicable)
- Perform administrative duties for the Regional Sales Managers as needed and assigned
- Participate in process improvements, including process definition, measurement analysis, and implementation of controls
- Participate in proactive team efforts to achieve departmental and company goals
- Provide leadership to others through example and sharing of knowledge/skill
- Other duties as required and assigned
A Successful Candidate Must Possess:
- High school diploma or GED required
- A minimum of one (1) year of experience as a Field Services Coordinator/Specimen Collector at Aegis OR a minimum of two (2) years of external experience collecting and/or coordinating biological samples
- Valid driver’s license required (must meet insurability requirements)
- Excellent communication and organizational skills
- Ability to interact and adapt with all levels of team members
- Proven track record of meeting deadlines and prioritizing workload
- Ability to use good judgment and work independently
- Ability to handle multiple tasks without sacrificing quality

Monday and Friday 9:00am-3:00pm
Tuesday, Wednesday & Thursday :Flexible
