Your Position
The HR Representative plays a crucial role in supporting various HR functions and initiatives, ensuring compliance with employment laws while championing our company’s core values. Reporting to the Director of Human Resources, the HR Representative is responsible for providing comprehensive HR support to the organization as well as managing payroll functions and benefits administration for its employees. This role requires a strong understanding of HR policies, payroll regulations, and exceptional attention to detail. Your mission
Payroll Administration:
- Utilize ADP software to process multi-state payroll accurately and promptly for employees.
- Ensure compliance with federal, state, and local payroll regulations.
- Handle payroll inquiries and discrepancies with professionalism and efficiency.
- Collaborate with finance to reconcile payroll-related accounts.
- Administer year-end processes such as W-2 and 1095-C forms, and other payroll reports and documents.
Recruiting & Employee Onboarding and Offboarding:
- Assist with recruitment processes such as job posting and interview coordination.
- Onboard new hires, including tracking document completion, processing background checks, conducting orientation, and ensuring system setup.
- Coordinate offboarding activities, such as exit interviews, final paycheck processing, and benefits termination.
HR Data Management:
- Maintain accurate employee records and databases, ensuring confidentiality and data integrity.
- Generate HR reports and analytics as needed for management and compliance purposes.
- Update employee information in ADP and other HR systems promptly and accurately.
Employee Support:
- Serve as a point of contact for employees on HR-related matters.
- Provide guidance on company policies, benefits, and payroll-related inquiries.
- Process leaves of absence requests and ensure employee data and pay are accurate during and after returning from leave.
Benefits Administration:
- Support benefits enrollment processes and assist employees with benefit-related inquiries.
- Collaborate with benefits providers and brokers to resolve issues and ensure accurate deductions and contributions.
- Process qualifying life event benefit changes and ensure accuracy with deductions.
- Verify all vendor bills for accuracy every month.
HR Compliance:
- Stay updated on federal, state, and local employment laws and regulations.
- Prepare and file necessary compliance reports, such as EEO-1, ACA, and other regulatory filings.
- Assist in ensuring company policies and practices are compliant with relevant legislation.
- Support HR audits and investigations as necessary.
- Maintain up-to-date knowledge of HR trends, best practices, and legal changes.
General HR Support:
- Provide administrative support to the HR Director, including scheduling meetings, preparing documents, and coordinating events.
- Assist with HR projects and initiatives, such as performance management, employee engagement, and diversity initiatives.
Office Management:
- Serve as the front line in the office and maintain visitor relations, including, but not limited to, receiving packages, greeting guests, and directing employees/visitors appropriately.
- Provide administrative support as needed with meeting coordination, catering orders, mail distribution, and other administrative support as necessary.
All About You
Your Superpowers
- A minimum of 3 – 5 years in a client-facing HR support role with 2 years in payroll and benefits.
- Professional HR designation (HRCI, SHRM) or payroll certification is an asset.
- HR Compliance: Well-versed in respective employment legislation and other relevant regulations (FLSA, Pay Equity, Accommodations, Worker’s Compensation, etc).
- Payroll Compliance: Thorough knowledge of employee benefits including 401K, COBRA, HIPAA, FLSA, ERISA, FMLA, and other leaves of absence requirements.
- Data Analysis: Ability to analyze data, documents, reports, etc., with meticulous attention to detail.
- Technology: Experience with HR systems & office software including Microsoft Office, Teams, and ADP Workforce Now.
- Payroll: Experience processing payroll across numerous jurisdictions and platforms.
- Benefits Administration: Experience managing employee benefits programs including health, dental, retirement, and other plans. Proven ability to manage high-volume requisitions efficiently and accurately.
- A true passion for HR: Staying up to date with trends in the market and having an interest in how HR will evolve 10 to 15 years from now.
- Organizational skills: Keeping the HR team organized and efficient in their approach to solving problems and implementing solutions.
- Time Management: Self-motivated and the ability to be flexible to meet employee needs, deadlines, and time management budgets.
- Communication and Interpersonal Skills: Our team needs to interact with many employees at various levels of the organization and must always provide exceptional and professional customer service.
Position Details
Work Location
- HQ is in Orange, California. This role will be required to work on-site. A hybrid work arrangement may be considered after 3 months of employment.
Work Schedule
- Monday – Friday, 8:00 AM – 5:00 PM with a 1-hour lunch break
Travel Requirements
- Minimal to no travel
Physical Requirements
- Prolonged periods of sitting or standing at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times
Compensation
- $32.70/hour - $40.14/hour, based on experience and skills
- Bonuses awarded for exceptional performance and other metric-driven initiatives
