POSITION SUMMARY
The Administrative Assistant collaborates with all staff to support Aerium's mission and represent its values when interacting with members and the community. This position is a key link in supporting the organization's efficient and smooth day-to-day operations.
KEY RESPONSIBILITIES
1. Administrative Support
- Providing an on-site physical presence in Aerium’s Johnstown, PA, headquarters daily during work hours.
- Provide support to the team, including scheduling meetings, phone calls, travel arrangements, and event coordination.
- Act as the first line of communication, ensuring stakeholders are routed to the appropriate team member to support their efforts.
- General administrative duties, including drafting communications, managing mailings, customer service, preparing reports, and maintaining appropriate filing systems.
- Office management duties, including ordering supplies, troubleshooting technology problems, and coordinating with outside vendors for services/repairs.
- Triage and manage routing inbound communications and support requests (e.g., emails, phone calls) to appropriate team members, and handling routine communications with stakeholders directly.
- Providing support to the board of directors, including meeting scheduling and distribution of board materials.
- Supporting program evaluation by entering and summarizing meeting, training, and workshop feedback.
- Conduct product and services procurement, ordering, and fulfillment, working with accounting to ensure accuracy in record-keeping.
- Special projects and other tasks as assigned.
2. Contribute to a strong organization:
- Contribute to the organization's visibility by representing Aerium at local events.
- Bring ideas from events, meetings, etc., back to the organization to contribute to our ongoing effort.
- Support Aerium’s advocacy work.
SKILLS AND REQUIREMENTS
- 2 years of work experience, with preference given to those with nonprofit and/or aviation experience.
- Some travel by personal automobile locally and within Pennsylvania (driver's license required, with mileage reimbursement provided.)
- Commitment to our mission and belief in Aerium's value as a driver of aerospace innovation and workforce development.
- Excellent customer service skills.
- Outstanding verbal/written communication skills.
- Proficiency in Office Suite (Word, Excel, PowerPoint, Outlook) is required, including managing multiple staff members’ professional calendars. Experience with databases is a plus.
- Ability to handle multiple tasks, projects, and priorities effectively and professionally.
- Ability to travel by personal automobile (travel reimbursement provided) within the state in support of Aerium meetings and events.
- Some moderate lifting (up to 25 pounds) may be required on an occasional basis.

Pay: $34,000.00 - $40,000.00 per year
