Job Summary : The ideal candidate for the Office Manager position will be an organized and detail-oriented individual who values customer service and has office management and accounting experience in a machine shop / manufacturing environment. This position is responsible for the day-to-day administrative functions, including timekeeping, accounting, customer service, and smooth office operations. This role requires excellent communication, organizational, and multitasking skills, as well as a strong understanding of basic accounting practices and office management.
Office Manager Primary Duties & Responsibilities :
- Responsible for daily bookkeeping tasks such as accounts payable / receivable and invoicing. Assist with monthly and year-end financial closing.
- Performs daily calculation and entry of labor hours for all employees to appropriate jobs in accounting software and provides hours to HR in Excel.
- Manage weekly Accounts Payable duties including matching and entry of vendor invoices, weekly check run, account reconciliations as needed.
- Responsible for Accounts Receivables which includes generating customer invoices, following up with clients regarding payments, and generating reports for management.
- Performs banking responsibilities including deposits and monitoring of cleared AP checks.
- Creates Purchase Orders in system for shop and office supplies
- Maintain employee training records and work closely with HR for employee recruitment, onboarding, time off, benefit, etc. Helps address employee questions regarding timekeeping or payroll.
- Serve as the first point of contact for phone calls, emails, and in-person visitors, directing inquiries to the appropriate department.
- Perform general administrative duties such as scheduling meetings, managing calendars, and supporting staff.
- Manage office supplies and equipment, ensuring inventory is adequately stocked and equipment is well-maintained. Coordinate and oversee office maintenance and cleanliness.
- Ensure compliance with safety regulations and company policies. Maintain shop inspection calendar and scheduling of all appointments relating to regulatory compliance. Oversees shop permits and ensure that all permits are up to date.
- Maintain office supplies, cleaning and janitorial supplies, as well as monitoring of employee PPE supplies to ensure employees' supply and safety needs are met.
