Job Title: Exhibitor Services Representative (ESR)           

Location: Egg Harbor, NJ or Houston, TX

Team: Exhibitor Services

Reports To: Director of Exhibitor Services

With strong problem-solving skills and keen attention to detail, you ensure that exhibitors receive top-tier support throughout their event journey. Your ability to communicate effectively and multitask allows you to manage exhibitor inquiries, logistics, and sales opportunities seamlessly. You take pride in your deep understanding of trade show operations and your ability to anticipate and address exhibitor needs with efficiency and professionalism.

What You Do

As an Exhibitor Services Representative, you provide outstanding exhibitor support, ensuring smooth operations, optimizing customer satisfaction, and driving sales growth.


Deliver Exceptional Exhibitor Support

  • Travel to trade shows and events to set up and manage service desks, providing hands-on assistance to exhibitors and addressing inquiries in real time.
  • Respond promptly to exhibitor inquiries via phone and email, offering professional guidance and solutions to enhance their event participation.

Ensure Seamless Order Management

  • Maintain accurate financial records for all transactions
  • Process exhibitor orders, invoices, and payments accurately and promptly.
  • Handle collections and refund requests according to company policy.

Manage Logistics & Operations

  • Pack job boxes with necessary materials for events.
  • Coordinate labor requirements for exhibitors.
  • Provide logistical assistance to exhibitors throughout events.
  • Process and bill freight and material handling.
  • Assist with ground and overhead rigging operations.
  • Create labels and material handling authorizations.
  • Process CORT and AFR orders and documentation.

Drive Revenue Growth

  • Identify upselling opportunities by understanding exhibitor needs and recommending AEX products and services to maximize their booth impact.
  • Maintain comprehensive knowledge of all AEX offerings.
  • Conduct booth checks to ensure order accuracy and identify additional sales opportunities.

Champion a Collaborative Environment

  • Work closely with sales, operations, and custom exhibits teams to align on event needs and deliver seamless execution.

Stay Industry-Savvy

  • Maintain expertise in trade show industry practices, labor jurisdictions, and shipping logistics to provide exhibitors with knowledgeable support.
  • Stay informed about event-specific requirements and regulations.

 

 

Handle Administrative Responsibilities

  • Maintain department metrics and KPIs
  • Attend meetings as requested by management
  • Maintain a clean and organized workspace
  • Perform regular scanning and filing of documents
  • Organize and manage paperwork efficiently

  • Perform other duties as assigned

Technical & Industry Expertise

  • Previous experience in trade shows, event services, or customer support preferred.
  • Strong knowledge of trade show industry practices, including labor jurisdictions and shipping logistics.
  • Proficiency in Microsoft Office and order-processing software.

Sales & Communication Skills

  • Proficiency in clear and professional communication techniques, including presenting ideas effectively.
  • Excellent verbal and written communication skills to engage with exhibitors and internal teams.
  • Ability to upsell and cross-sell AEX products and services to exhibitors.

Organizational & Time Management Skills

  • Detail-oriented with the ability to manage multiple tasks and prioritize effectively.
  • Ability to work independently while also contributing to a collaborative team environment.

Work Environment and Schedule

  • Work schedule flexibility, including standard 8-hour business days with occasional extended hours and weekends based on event schedules.
  • Frequent travel is required to trade show locations.
  • Ability to stand for extended periods during events and lift materials up to 25 pounds.
