CLINIC MANAGER – URGENT CARE

Job Summary
The Clinic Manager (CM) is an active role where you’re coordinating multiple team members and problem-solving in real time. You are a professional that ensures safe, courteous, and high-quality care to all patients. You facilitate communication with patients, providers, associates, and management, and can optimize the work environment and uphold the highest standards of professional excellence.
Essential Functions
1. Team Management – recruit, hire, onboard, motivate, and retain clinical and non-clinical staff.
· Recruit for positions using job boards, attending job fairs, social media campaigns, and community relationships.
· Provide ongoing training with strong fundamentals in patient care and compassion. Cross train multiple patient-centric positions.
· Manage the daily operations of the staff to include optimizing labor hours through workload scheduling, training, and evaluating and improving clinic processes and effectiveness.
· Ensure staff complies with established state and federal rules and regulations and company policies.
2. Revenue Cycle Management – administration of the entire revenue cycle, including
· Assisting the billing vendor with accurate patient charges and claims submissions to payors.
· Correcting denials, clarifications, and facilitating with providers for accurate coding.
· Employer Services (EPS) invoice collections, accounts receivable and proper revenue accounting.
3. Patient Satisfaction – monitor clinic activity to continuously deliver an excellent patient experience.
· Develop and implement procedures to improve patient flow and reduce friction points.
· Investigate and promptly resolve patient complaints.
· Respond to all patient reviews and surveys with the goal of maintaining positive customer relations.
4. Profit & Loss – work to ensure the clinic stays within budget by controlling labor, supply usage, and inventory costs.
· Conduct a daily review of log visits, open patient accounts and receivables.
· Prepare financial reports and summaries as requested.
· Provide recommendations or action plans to enhance operational efficiencies.
5. Facility – maintain and keep the clinic clean using clinic staff or other support services.
· Report to management any facility condition items that negatively impact aesthetic appeal and/or patient experience or result in service interruptions.
· Promptly assess equipment repair/replacement needs.
· Supervise vendors conducting work on premises.
Other Responsibilities
- Facilitate coordination of EPS client protocols to ensure smooth operation and service delivery.
- Participate in sales and marketing promotions in conjunction with the sales team as needed.
- Ensure compliance with regulating organizations including OSHA, CLIA, HIPAA, and any others.
- Other duties and responsibilities as assigned.
- Ability to perform the physical activities consistent with an office environment including standing or sitting for long periods and reaching or bending to access cabinets. Potential exposure to potentially infectious material and chemicals.
Qualifications
- Education: Associates Degree or equivalent.
- Experience Preferred: 4 years of related experience in an urgent care, hospital, or other related health care clinic with at least 2 of the 4 years in any management or supervisory role.
- Patient billing experience is highly preferable.
- Demonstrated written and verbal communication skills.
- High attention to detail and ability to focus.
- Computer proficiency.
