Administrative Assistant
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Administrative Assistant typically provide direct assistance to one or more senior leaders, assisting with daily office needs and managing our company’s general administrative activities.
Essential Duties & Responsibilities:
- Provides administrative support to ensure efficient office operations.
- Manage phone calls and messages according to each executive’s preference.
- Manage the Outlook calendar, which involves frequent adjustments and updates throughout the day, scheduling and confirming all internal and external meetings and conference calls.
- Provide a day-before view of the calendar within Outlook and the CRM system in order to allow executives to be well prepared for the next day’s requirements and deliverables; this daily view must have all meeting locations, contact numbers, and any other relevant details. Ensure executives are on time for meetings.
- Organize and schedule appointments
- Plan meetings and take detailed minutes and meeting summaries.
- Write and distribute email, correspondence memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports and provide sales support.
- Ensures that deadlines are met and adapts to changing priorities.
Requirements and skills
- Proven experience as an administrative assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- High school degree; additional qualifications as an administrative assistant or secretary will be a plus.
- Familiarity with or interest in manufacturing
- Exceptional organizational skills, follow-through, and attention to detail.
- Solid experience and comfort level with Outlook, CRM, Word, Excel, PowerPoint, and Keynote software.
- Strong written and verbal communication skills, including professional phone manners.
- Speaks Mandarin is a plus
Education/Experience:
- High school diploma or GED is required.
- 3 years of experience are required.
- Experience working with executives is required.
Job Type: Full-time
Pay: $16.50 - $22.00 per hour
