We are seeking a proactive and detail-oriented Executive Assistant to support our executive team and manage a variety of high-level projects. This dynamic role also includes overseeing our billing department and accounts payable processes. The ideal candidate is a quick learner, tech-savvy, and thrives in a fast-paced environment.
Key Responsibilities:
- Provide high-level administrative support to executive leadership
- Manage and execute various strategic and operational projects
- Oversee billing department and ensure timely, accurate invoicing and accounts payable
- Track and manage expenses, reconcile reports, and maintain financial records
- Prepare reports, presentations, and documentation using Excel and Word
- Maintain and update QuickBooks entries for accounts payable and billing
- Coordinate with vendors, clients, and internal departments to ensure smooth operations
- Identify opportunities for process improvements and take initiative to implement solutions
- Assist with scheduling, correspondence, and other executive tasks as needed
Qualifications:
- 3 years of experience in an Executive Assistant, Office Manager, or similar role
- Strong proficiency in QuickBooks, Excel, Word, Google suite and general computer applications
- Highly organized, efficient, and able to multitask with precision
- Strong written and verbal communication skills
- A proactive go-getter with the ability to work independently and problem-solve
- Experience overseeing billing or finance-related departments is a strong plus
- High level of discretion and professionalism
