- Manage and optimize the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as a liaison between the executive and internal/external stakeholders.
- Draft, review, and manage emails, reports, and presentations.
- Handle phone calls and messages professionally and promptly.
- Organize and prepare for meetings, ensuring all necessary materials and agendas are ready.
- Process expense reports and track budgets.
- Conduct research and compile reports as needed.
- Ensure all office supplies are stocked and that administrative functions are running smoothly.
- Track and manage company expenses, reconcile receipts, and prepare reports for review.
- Oversee and manage company credit cards and cell phone accounts, ensuring payments are up-to-date and resolving any issues.
- Handle personal tasks, including managing appointments, travel arrangements, and errands for the CEO and his family.
- Coordinate household management tasks and vendors as needed.
- Ensure all required tenant payments are collected before all agreement distributions.
- Verify that Certificates of Insurance (COI) and payments are received for Event Agreements before sending in for execution.
- Maintain accurate records of leasing documents and compliance requirements.
- Follow up with managers regularly to ensure all documents and payments are received on time.
- Handle small IT-related tasks for the office, such as troubleshooting basic computers, printer, and network issues.
- Coordinate with external IT support when needed.
- Ensure office equipment is functioning properly and oversee minor tech upgrades.
- Maintain software subscriptions, office accounts, and login credentials as needed.
- Ensure office operations are running smoothly by managing supplies, equipment, and facility needs.
- Assist in sourcing, screening, and coordinating interviews with potential candidates.
- Assist the Human Resources Manager and help with managing job postings.
- Help with new hire onboarding, setting up workspaces, and ensuring smooth integration.
