What are the responsibilities and job description for the ADMINISTRATIVE ASSISTANT II - BUILDING LEVEL position at Affton School District?
ANTICIPATED START DATE : As soon as possible
LOCATION: Rogers Middle School (6-8)
DETAILS: 12-month support staff position starting in the 2024-25 school year, with district-recognized holidays and paid vacation, sick, and personal leave. Leave time will be prorated for the 2024-25 school year based on start date. This is a full-time, 40 hours per week position, with a district provided benefits package that includes employee health, dental, life and vision insurance.
COMPENSATION: According to the Support Staff Pay Schedule within the Level E range. The pay range for this position is $18.00- $21.41 per hour. Placement within the range on the Support Staff Pay Schedule is determined by like experience and education.
JOB SUMMARY: Assist in the efficient operation of the school’s educational and administrative office and project a positive image for the entire school community.
QUALIFICATIONS:
1. High school diploma or equivalency certificate.
2. Previous experience as an administrative assistant required.
3. Previous experience with data entry and running reports required.
4. Preference will be given to candidates who are proficient in Excel, Microsoft Office Suite, Google applications.
5. Preference will be given to candidates with prior administrative assistant experience in an educational setting.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Establish and maintain a safe, accessible, positive, and inviting office environment for all members of the school community.
2. Provide information and assistance to students, parents, staff, other schools, outside agencies and the public.
3. Maintain confidentiality in accordance with Board policy, State and Federal laws for office, staff and student
matters at all times.
4. Answer phones, take and route messages, and respond appropriately to requests for information.
5. Assist with the maintenance of files and records as appropriate and assigned.
6. Greet all visitors, students, and teachers courteously, determine their needs, check appointments and direct to
the proper person.
7. Collaborate with the District Registrar in order to enroll students. This includes scheduling and facilitating
building tours, upcoming events, communication and documentation from transfer schools, determining
incoming credits, and maintaining records for new, active and inactive students.
8. Collaborates with staff to monitor grading windows and rectify student courses and grades recorded.
9. Communicates all record request concerns such as disciplinary items and alternative education with building
administration.
10. Learn and utilize the school database systems to find information and run reports as needed.
11. Create, process, and submit annual reports and spreadsheets using various District information systems.
12. Inputs student data and creates reports and lists from data within the student information systems.
13. Coordinates compilation of compliance reports and follows up with stakeholders to ensure documentation is
complete.
14. Communicate with students, parents, District personnel, administrators and outside agencies to exchange
information and resolve issues or concerns.
15. Maintain professional appearance and behave in a manner appropriate to a public setting.
16. Classify, sort, and file correspondence, mail and other related data.
17. Maintain bulletin boards, display cases, front/outdoor signs with professional appearance.
18. Assist with placement and processing of building supply and/or equipment orders.
19. Prepare purchase orders and reconcile monthly purchase card statements for the building.
20. Assist in preparing the annual budget for the building and updating throughout the year as necessary.
21. Collaborates with the Business Office to prepare financial reports or financial information requested.
22. Assist with scheduling room and building usage.
23. Provide assistance during emergency drills and with related procedures.
24. Other duties as assigned by the Administration.
