Job Title : Administrative Assistant to the Athletic Director

Department : Athletics

Reports To : Athletic Director

Job Summary : The Administrative Assistant to the Athletic Director provides high-level administrative support to ensure the efficient operation of the athletic department. This role involves clerical duties, communication with coaches, student-athletes, parents, and community members, as well as coordination of schedules, events, and documentation.

Key Responsibilities :

  • Serve as the primary point of contact for the athletic office, handling phone calls, emails, and in-person inquiries.
  • Maintain and organize the Athletic Director's calendar, including scheduling meetings, events, and travel arrangements.
  • Assist with the preparation and distribution of athletic department communications, including newsletters, social media updates, and website content.
  • Support the Athletic Director in preparing reports, presentations, and documentation for school administration and governing bodies.
  • Maintain accurate records of athlete eligibility, physicals, and compliance with school and state athletic association regulations.
  • Coordinate logistics for athletic events, including facility scheduling, transportation, officials, and equipment needs.
  • Assist in processing purchase orders, invoices, and budget tracking for the athletic department.
  • Organize and manage files, contracts, and correspondence related to the athletic program.
  • Coordinate fundraising efforts, sponsorships, and booster club activities in collaboration with the Athletic Director.
  • Assist in recruiting, onboarding, and managing schedules for coaching staff and support personnel.
  • Ensure compliance with school policies and procedures, as well as local and state regulations regarding athletic programs.
  • Perform other duties as assigned by the Athletic Director.

Qualifications :

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Previous experience in an administrative assistant role, preferably in an educational or athletic setting.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software.
  • Ability to manage multiple tasks, prioritize workloads, and meet deadlines.
  • Knowledge of high school athletics, eligibility requirements, and compliance regulations is a plus.
  • Strong interpersonal skills and the ability to work effectively with coaches, staff, students, and the community.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive matters.
  • Work Schedule :

  • This is a part-time position with occasional evening and weekend hours required for athletic events.
  • Compensation :

  • Salary and benefits will be commensurate with experience and qualifications as determined by the school district's policies.
