AFL is seeking an Executive Assistant to become an essential part of AFL’s dynamic Accounting and Finance Team, with an opportunity to make a real impact on our organization's success.
Job Summary:
Our Executive Assistant for our Chief Financial Officer is a key member of the Accounting/Finance team. Schedules appointments, answers routine questions from staff and outside callers, composes and types routine and confidential correspondence, and otherwise relieves executives of clerical work and administrative and business detail.
Responsibilities:
- Manages calendars and travel for our CFO and other key members of the Finance and Accounting team
- Key member of Finance and Accounting Team
- Monitors outlook, meeting requests, expense reports and routine administrative correspondences for Finance Leadership
- Coordinates/manages CFO and Finance meetings (quarterly and annual summit)
- Handles Meeting requests/management (for Finance, Accounting, Strategic Steering Teams, etc.)
- Facilitates catering/lunches for all products meetings, includes quarterly luncheons w/Associates and meeting Visitors Center
- Manages NDAs for Finance and Accounting team
- Facilitates IT requests, orders equipment for new hires
- Supports general administrative requests such as office supplies, business cards, UPS shipments, passports and travel documentation, etc.
Qualifications:
- Bachelor's Degree plus five years experience in an Administration role or an Associate's Degree 8 plus years of relevant Executive Assistant/Administration experience
- Proficient knowledge of Microsoft Office, Excel, PowerPoint and other strong computer skills
- Ability to read and interpret complex documents
- Speak effectively before small and large groups of internal and external customers or employees
- Strong writing and creative presentation skills required
- Professional attitude and attention to detail with a heavy emphasis on time management and prioritization
- Ability to keep organizational matters at the highest level of confidentiality is a must
