After-School All-Stars (ASAS) is one of the leading national after-school program providers in the country. With a special focus on the middle school age group, our comprehensive school-based programs include Academic Readiness, Career Exploration, STEM, Wellness/Social Emotional Learning, and the Arts to help build the knowledge and skills children need to succeed, both in school and in life. Founded by Arnold Schwarzenegger in 1992, ASAS provides free, daily after-school programs to more than 150,000 youth in over 780 schools and sites in 18 chapters across the U.S. With the award of a national expansion grant, ASAS launched programs in the Puget Sound region during Fall 2016 and is currently in our eighth program year. ASAS Puget Sound serves approximately 600 students at three public school sites in Kent, Tukwila, and Federal Way.
A Unique Opportunity
ASAS is currently seeking an exceptional and dynamic leader for the position of Program Manager. Reporting to the Executive Director, general responsibilities include strong leadership, overall program design and management, program staff management (i.e. performance management, coaching, professional development, and training), program budgeting, consistent monitoring of after-school programs at multiple partnering school sites, management of data collection, and grant compliance.
Program Manager Job Overview
The
Program Manager (PM)
will demonstrate the ability to lead, coach, and provide ongoing training to program staff to accomplish established objectives. This position requires flexibility to travel to partnering school sites within the Puget Sound region (currently in Federal Way, Kent, and Tukwila), excellent relationship-building and collaboration skills,
superb organizational skills and attention to detail, the ability to juggle multiple projects and tasks simultaneously,
and a commitment to the mission of ASAS.
The PM co-designs, establishes, implements, and reviews program systems and logistics alongside the
Site Coordinator(s)
- Each Site Coordinator
The PM also recruits, onboards, trains, and manages all part-time
Program Leaders
(i.e. Instructional Leads).
Program Leaders are the frontline staff that instruct daily programs, oversee classroom management, and implement lesson and activity plans to keep students engaged. Currently there are 15 Program Leaders for ASAS Puget Sound.
Specific Responsibilities
Staff Management:
- In collaboration with the Executive Director and Operations Manager, hire and oversee Site Coordinators and Program Leaders staff to implement daily program operations at partnering school sites.
- In collaboration with the Operations Manager, recruit, hire, train, and manage Program Leader staff and ensure that they are developing high quality, comprehensive after-school programming.
- Support the Program & Mentor Coordinator with overseeing the Mentoring program to ensure compliance with the Office of Juvenile Justice and Delinquency Prevention (OJJDP) grant outcomes and deliverables.
- Provide continuous professional development and training opportunities for Site Coordinators and Program Leaders.
- Oversee, organize, and support our in-person programming (currently at three school sites with potential growth to additional school sites in the future).
- Build culture and team dynamics across all sites.
- Conduct regular performance reviews and evaluations for program staff (i.e. currently 3 full-time Site Coordinators and 15 part-time Program Leaders).
- Sustain effective program planning throughout the year that includes session planning, developing student class selections/schedules, assisting with and preparing for site visits, ensuring alignment with core program initiatives, as well as coordinating and planning field trips and culminating events.
- Implement programming per ASAS National Model and ASAS program structure/design—both during school year and summer camp programming.
- Collaborate with the Program & Mentor Coordinator on the planning and implementation of the Mentoring program and other general program support needs.
- Develop and implement strategies for student recruitment and retention.
- Travel daily to a school site(s) in Tukwila, Federal Way, and Kent/Renton on Mondays-Thursdays and occasionally to off-site meetings, trainings and events.
- Perform other duties as assigned.
- Research and align effective program partnerships and collaborations to ensure that partner expectations are met.
- Build upon existing relationships with partnering corporations such as EY (Ernst & Young) and Microsoft for their volunteer/employee engagement programs.
- Serve as a liaison with school personnel and community groups to maintain positive public and working relations of program staff and community partners.
- Advise Site Coordinators on communication with school administration, families, and other school staff.
- Meet or exceed Average Daily Attendance (ADA) site goals throughout the year (currently minimum of 50 students per partnering school site).
- Ensure that student records and attendance data are maintained accurately.
- Ensure expectations relating to grant deliverables, budgeting, and reporting processes are carefully tracked and met.
- Develop and thoroughly understand school site budgets and any grant compliance requirements; familiarize Site Coordinators with budget related information.
- Implement Continuous Quality Improvement (CQI) through the Youth Program Quality Intervention (YPQI) process and Site Operations Pulse Checks at all partnering school sites.
- Manage operations such as payroll and spending reports reconciliation.
An undergraduate degree is required. Teaching experience or experience running after-school programs is preferred. The successful candidate will have:
- Experience working in a leadership or supervisory capacity in a school, after-school program, day camp and/or community youth outreach setting
- Minimum of 3 years of staff management experience
- Minimum of 3 years of facilitating training and professional development sessions focused on various youth development and after-school instructional leader topics
- Ability to work cooperatively and collaboratively with school district staff, public officials, private sector officials, parents and community leaders
- Familiarity with quality criteria for after-school programs
- Familiarity with Youth Program Quality Intervention (YPQI)
- Familiarity with youth development principles & experience working with middle school aged youth
- Ability to communicate effectively and demonstrate sensitivity to others
- Highly organized, self-starter, flexible and able to adapt to changing position demands
- Dependable, conscientious, detail-oriented, and capable of managing deadlines
- Ability to respond to critical incidents and emergency situations with swift and mindful action
- Familiarity with Microsoft 365 (i.e. Outlook, Word, Excel, PowerPoint, OneDrive, etc.), Zoom and Microsoft Teams; tech-savvy and a fast learner
- Experience working with diverse populations (strongly preferred)
- Ability to be on school site(s) during program hours of approximately 2:30-6:00pm (2 nights of the week may be until 7:00pm due to weekly school site-based team meetings; hours can be adjusted those days)
- Must clear FBI and local background checks
- Availability to work occasionally evenings or weekends for field trips and special events
