POSITION OVERVIEW FOR CONSTRUCTION BID COORDINATOR

Agilitech has an excellent career opportunity for a Construction Bid Coordinator. Under the direct supervision of the Director of Construction, the Construction Bid Coordinator is essential in supporting our estimating and project management teams by coordinating bid preparation, submission, and follow-up for public works electrical projects. The Bid Coordinator will manage bid documents, track deadlines, and ensure compliance with all public sector requirements.

Requirements

GENERAL RESPONSIBILITIES  FOR CONSTRUCTION BID COORDINATOR 

Bid Management & Coordination:

  • Assist in preparing, organizing, and submitting bid proposals for public works projects.
  • Review bid opportunities from various sources (e.g., government procurement portals, bid boards, and client invitations).
  • Track and manage bid deadlines, RFIs, and addenda to ensure timely responses.
  • Coordinate with estimators, project managers, and subcontractors to compile bid documents and cost estimates.
  • Ensure compliance with public works bidding regulations, including prevailing wage, bonding, and licensing requirements.

Document & Compliance Management:

  • Maintain an organized database of bid documents, prequalification forms, and subcontractor information.
  • Assist in preparing and submitting required pre-bid qualifications and certifications.
  • Verify that bid packages include all required forms, signatures, and supporting documentation.
  • Ensure compliance with local, state, and federal public works bidding regulations, including DIR registration, certified payroll, and DBE participation requirements.

Communication & Coordination:

  • Act as the primary point of contact for bid-related inquiries from clients, subcontractors, and vendors.
  • Distribute bid documents, scope sheets, and proposal details to internal teams and subcontractors.
  • Follow up on bid submissions to track results and gather feedback for future improvements.
  • Assist in scheduling bid-related meetings, site visits, and pre-bid conferences.

  • Strong organizational and time management skills.
  • Attention to detail and ability to manage multiple deadlines.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and bid management software (e.g., Bluebeam, Procore, or Accubid).
  • Ability to read and understand bid documents, plans, and specifications.

REQUIREMENTS FOR CONSTRUCTION BID COORDINATOR 

  • Associate’s or Bachelor’s degree in Business, Construction Management, or a related field preferred 
  • 2 years of experience in bid coordination, estimating, or contract administration within the construction or electrical industry.
  • Familiarity with public works bidding processes, prevailing wage laws, and California contracting requirements 

TRAVEL REQUIREMENTS

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
