POSITION SUMMARY

The Operations Manager is a key leadership role responsible for overseeing two critical functions within Agility Insurance Services : project coordination and lead management. This position manages both the Project Coordinator—who facilitates cross-functional initiatives—and the Leads Coordinator—who administers lead distribution and tracking for the Sales and Marketing teams. Reporting to senior leadership, the Operations Manager ensures that projects, leads, and related processes are executed efficiently and align with the company’s strategic objectives.

Requirements : KEY RESONSIBILITIES

Team Leadership & Development

  • Directly supervise the Project Coordinator and Leads Coordinator, setting clear performance objectives and providing regular feedback.
  • Conduct one-on-one meetings and team sessions to support professional growth and to maintain alignment with departmental and organizational goals.
  • Foster a collaborative culture that encourages innovation, continuous improvement, and knowledge sharing.

Project Coordination Oversight :

  • Collaborate with the Project Coordinator to plan, execute, and monitor various cross-departmental projects (e.g., Sales, Training, Contracting, Carrier & Agency Onboarding, Commissions, Market Management).
  • Ensure project scope, deadlines, and budgetary parameters are clearly defined and met, proactively addressing risks or bottlenecks.
  • Promote standardized project management methodologies and best practices to achieve consistent and high-quality results.
  • Lead Management & Optimization :

  • Guide the Leads Coordinator in maintaining effective processes for lead distribution, ensuring timely assignment to Sales and Marketing teams.
  • Monitor lead flow, conversion metrics, and overall pipeline health, using data to recommend process enhancements.
  • Collaborate with Sales, Marketing, and senior leaders to align lead-generation activities with company-wide objectives.
  • Operational Excellence & Process Improvement :

  • Identify opportunities to streamline workflows, reduce inefficiencies, and optimize outcomes across project coordination and lead management.
  • Develop and update standard operating procedures (SOPs), ensuring clarity and consistency in day-to-day operations.
  • Evaluate tools and technologies that can further enhance efficiency, visibility, and collaboration among teams.
  • Cross-Functional Collaboration :

  • Serve as a central liaison for internal stakeholders, ensuring departmental initiatives and priorities are well-communicated and integrated.
  • Provide regular updates on project milestones, lead performance, and resource needs to senior leadership.
  • Coordinate with Finance, HR, and other departments to ensure budget adherence and adequate staffing for ongoing initiatives.
  • Reporting & Analytics :

  • Oversee the generation of project status reports and lead metrics, creating KPIs and dashboards for executive leadership.
  • Analyze trends in both project execution and lead management, offering data-driven insights for strategic decision-making..
  • Set and track departmental goals that support larger organizational objectives.
  • Coordinate with Finance, HR, and other departments to ensure budget adherence and adequate staffing for ongoing initiatives.
  • Qualifications & Requirements

    Education & Experience :

  • Bachelor's degree in Business, Operations Management, Project Management, or a related field (3 years of experience in insurance sales, marketing, or related field (or equivalent experience).
  • 3 years of experience in operations, project management, or program coordination, preferably within the insurance or financial services sector.
  • At least 1-2 years of leadership or supervisory experience, overseeing direct reports or small teams.

  • Base Salary : $80,000 - $90,000 based on prior experience with potential for performance-based incentives.
