What are the responsibilities and job description for the Operations Specialist position at Agilix Solutions?
Agilix Solutions is seeking an Operations Specialist to join our team in our St. Louis, MO office. This role is responsible for supporting daily operations and ensuring customer satisfaction through effective communication, problem-solving, and efficient processes.
This role will report to the Director of Order Operations.
Responsibilities
- Manage all aspects of open orders, including sales orders, ERP system, inventory, and freight capture. This role will identify areas for improvement within business systems and address any inefficiencies.
- Understand how to advance or reverse sales and purchase orders at different stages, including the limitations associated with these stages.
- Support Job Management billings and provide assistance with new Project Management processes in CSD.
- Assist Order Operations and Customer Service across the company by monitoring invoice exceptions, invoice hold codes, non-stock inventory, unavailable inventory, and open orders using internal systems and reporting tools.
- Provide customer service support for the Safety, Data Com, and Lighting/Solar groups.
- Gain a strong understanding of ERP systems, Total Warehouse Logistics (TWL), MITS, and other third-party applications.
- Maintain various reports that track the overall health and timeliness of order processing, including but not limited to: "Non-stock No Tie Report," "Erroneous Tie Report," "Internet Order/Warehouse Transfer Report," and "Orders Signed but Not Shipped Report."
- Assist with backorder management by tying and correcting issues with line items, as well as providing support for Job Management change orders and other related tasks.
- Provide customer service support for the First Aid and Safety division.
- Handle all duties related to the Agilix Recycle Program, from customer contact to final billing, while maintaining all records for each recycling order.
- Assist with kit building, rebate credits, and the creation of SOP documents for the Customer Service/Operations Department.

- Willingness to travel to the other Agilix Solutions branch locations occasionally.

- Excellent verbal communication skills.
- Strong interpersonal and teamwork skills.
- Ability to multitask effectively.
- Proficient in Microsoft Office programs, especially Excel.
- Experience with ERP systems.
