Summary
We are seeking an Administrative Assistant to join our team at Aging Resources. This role is crucial in ensuring our operations run smoothly and efficiently, allowing us to better serve our community's aging residents. The Administrative Assistant will handle various administrative tasks that support our mission.
Responsibilities
Enter expense and revenue entries into the accounting system.
Run reports from the accounting system as requested by the Executive Director.
Assist with processing payroll.
Serve as a liaison between ARDC and the PEO and provide Human Resources documentation as requested by the PEO.
Assist with annual insurance renewal and serve as the liaison between ARDC and the insurance broker.
Maintain inventory of organizational office supplies and order supplies as needed.
Maintain office equipment and serve as the main point of contact for vendors, such as for the copier.
File correspondence per ARDC policies and procedures.
Type up reports as requested by the Executive Directors, such as for boards of directors meetings.
Schedule meetings and respond to correspondence as requested by the Executive Director.
Process and distribute incoming and outgoing mail.
Assist with preparing donation tax receipts.
Organize and plan office celebrations, such as birthday parties.
Other duties as assigned.
Requirements
Minimum of one years’ experience working in an office environment.
Demonstrated experience with data entry.
Excellent interpersonal skills and ability to engage effectively with staff, volunteers, clients and donors in person, on the telephone, or in a virtual meeting.
Ability to manage time and workload effectively, which includes planning, organizing, and prioritizing.
Proficiency in Microsoft Office programs.
