Office Manager/Scheduling Coordinator

Job Description

  • Answering phones giving exceptional customer service
  • Communicate with clients for scheduling and organization
  • Filling customer orders and fielding inbound sales calls
  • Running schedules for jobs in coordination with the Operations Manager
  • Organizing routes for optimum service and timeliness
  • Coordinate activities for all company departments: owners, sales teams, multiple technicians, and supplementary office help
  • Adapt some customers orders for field technician.
  • Coordinate with Outside Bookkeeping Service to make sure books stay on track.
  • Send invoices and follow up on payments.

Skills & Responsibilities

  • Customer Service Experience in a phone based role preferred
  • Geographical knowledge of New England, Massachusetts and Rhode Island communities and knowledge of the traffic patterns in order to schedule commitments for customer needs would be helpful
  • Good administrative and technical skills with the ability to type quickly and accurately while on phone to document calls
  • Proven organizational skills and a demonstrated ability to balance several tasks with ease while having a focus on quality
  • Sales experience with ability to overcome objections helpful
  • Ability to be at work when scheduled. Monday to Friday 7am – 4pm.
  • High School Diploma or equivalent required; Bachelor’s degree preferred

Job Type: Full-time

Pay: $22.00 - $24.00 per hour

Expected hours: 40 per week

Experience:

  • Microsoft Office: 5 years (Preferred)
  • Office management: 5 years (Required)
