Position Summary
Responsible for back office functions that support fleet asset management, DOT compliance, driver payroll, transportation systems and all reporting. Provide operational support to assist with projects, events, or issues across the network.
Principle Duties and Responsibilities (essential functions)
- Collect, compile, and update all driver information that affects transportation records of Federal DOT Regulations on personal computer (i.e., driver license information, physicals, annual reviews/motor vehicle records, etc.).
- Maintain all driver qualification files according to DOT regulations.
- Oversee and coordinate driver employee status reports. Distribute monthly driver qualification status reports and reminders to drivers of upcoming expirations so they can remain qualified as prescribed by the Federal Motor Carrier Safety Regulation (FMCSR).
- Oversee compliance with FMCSR, particularly with regard to driver qualifications, accident reporting, driver and safety training changes by sending out monthly transportation training lessons and updates.
- Compile and maintain detailed records of all accidents including maintaining the DOT accident register.
- Maintain and create monthly Occupational Safety and Health Administration (OSHA) accident reports.
- Maintain all tags and titles for fleet assets.
- Responsible for verifying and processing driver payroll. Verify by using trip pay sheets, delay reports, and all required standard reports. Maintain, validate, and reconcile fuel inventory records with suppliers, A/P, and tax department. Maintain and create monthly fuel reports. Coordinate/assist the campuses with monthly tractor fuel/miles, refrigerated and miscellaneous fuel. Participate in state and federal fuel tax issues and audits by gathering required information and attending meetings
- Systems administrator, educator and coordinator of technical support, trouble shooting and upgrade testing as well as enhancement recommendations.
- Maintain all transportation reporting and files.
- Manage the driver safety awards program, including negotiations and dealings with vendors.
- Oversee and coordinate driver uniform program, including all negotiations and dealings with vendors.
- Review customer complaints with Transportation Managers at all DCs.
- Order all DOT supplies for each DC and monitor their distribution
- Contribute ideas to support a continuous improvement culture.
- Responsible for the development, talent planning and performance management of self.
Knowledge
- Has basic knowledge of PC software applications including MS Office.
- Working knowledge of DOT and Federal Motor Carrier Safety Regulations along with Transportation Logistics.
- Working knowledge of Transportation Logistics.
- Working level of knowledge for company, business and industry practices
