Job Summary: The Payroll Specialist plays a crucial role in the accurate and timely management of multi-state, bi-weekly payroll using the Paylocity software platform. This position is responsible for ensuring compliance with all applicable laws, regulations, and company policies. The Payroll Specialist will respond to employee inquiries, detect discrepancies through regular audits, and implement corrective actions as necessary to guarantee precise employee compensation and uphold data integrity. Additionally, this role supports HR functions, including employee onboarding, assisting with benefit programs, processing invoices, and maintaining personnel records.
Job Duties & Responsibilities
- Process bi-weekly payroll for a multi-state workforce using Paylocity platform, ensuring accuracy in employee time records, hours worked, and relevant payroll data. Verify withholding allowances, taxes, benefits deductions, and payroll garnishments ensuring compliance with federal, state, and local regulations and company policies.
- Process quarterly dividends, annual cash and restricted stock bonuses, and other forms of compensation. Ensure proper withholding for taxes and benefits deductions.
- Ensure payroll practices comply with federal, state, and local labor laws and company policies. Review tax reports, such as W-2s, 1099s, and Form 941.
- Maintain accurate payroll records, including employee data, tax withholdings, earnings history, and garnishments. Regularly update records in Paylocity to ensure data integrity.
- Troubleshoot and resolve payroll discrepancies and issues involving timekeeping systems and Paylocity integration, providing support to employees regarding payroll-related inquiries.
- Generate and distribute routine and ad-hoc payroll reports.
- Collaborate with internal and external auditors during payroll and worker’s compensation audits providing necessary documentation as requested.
- Evaluate payroll processes continuously to enhance efficiency and accuracy.
- Assist with payroll orientation for new hires, providing guidance on payroll systems and processes.
- Assist employees with self-service portal inquiries and resolve issues related to payroll.
- Assist with Paylocity system maintenance, including the review and testing of upgrades.
- Work closely with the HR team to develop and implement payroll-related policies and procedures.
- Assist with employee benefits programs including enrollment, changes, and processing invoices.
- Support the performance management process by tracking and managing annual reviews.
- Stay informed on payroll laws and regulations to ensure compliance.
- Evaluate and improve payroll processes for increased accuracy and efficiency.
- Associates degree in Accounting, Human Resources, or a related field or equivalent combinations of technical training and/or experience.
- 4 years of experience in payroll processing, with a focus on multi-state payroll.
- Proficient in Paylocity software.
- CPP certification a plus.
- Strong understanding of payroll tax regulations and compliance.
- Excellent attention to detail and analytical skills.
- Strong organizational and time management abilities.
- Exceptional communication skills, with the ability to collaborate across departments.
- Proficient in Microsoft Office Suite (Excel, Word, etc.).
- Ability to flex and adapt work schedule to changing business demands.

While performing the duties of this job, the employee will regularly work inside an office. Performing this job will require the use of hands to fingers with the ability to handle, or feel objects, stand, sit, walk, talk, and hear.
