The Corporate Legal Administrative Assistant provides comprehensive administrative support to the Corporate Practice Group. This role involves preparing and managing legal documents, coordinating filings with various state and county agencies, maintaining attorney calendars, and ensuring seamless communication between attorneys and clients. The ideal candidate will have experience in corporate and transactional law, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Prepare, edit, format, and proofread legal documents, including corporate filings, letters, and memos.
- Manage corporate filings and registrations with state and county agencies, including Arizona, Delaware, California, and Nevada.
- Handle conflict checks, open and close matters, and maintain accurate case documentation.
- Schedule meetings, arrange conference rooms, and coordinate travel arrangements.
- Maintain attorney calendars and assist in planning conferences, teleconferences, and depositions.
- Assist with billing tasks, including sending statements and tracking collections.
- Support attorneys and office management with various administrative and clerical tasks.
Minimum Education & Experience Requirements:
- 3-5 years of corporate and transactional legal administrative experience.
- Experience with filing systems for Arizona Corporation Commission, Maricopa County Recorder, and multiple state agencies.
- Strong knowledge of legal procedures, document formatting, and corporate filings.
Special Requirements:
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in legal billing systems and document management software.
