Job Description: Human Resources Assistant
AI Engineers is seeking a dynamic Human Resources Assistant, skilled in attention to detail, to support our busy and growing HR team. The HR Assistant will play a pivotal role in ensuring the smooth functioning of the human resources department. Their responsibilities will include handling various administrative tasks related to onboarding, employee support, HRIS and records management, benefits administration, and HR compliance. The HR Assistant is a key point of contact for employees regarding HR-related inquiries, and provides administrative support across various HR functions.

Key Responsibilities:
1. Recruitment & Onboarding
- Support the recruiting process as needed, and ensure timely completion of new employee onboarding tasks including paperwork, I9s/E-Verify, and completion of training, assisting in providing a seamless onboarding experience for all new employees.
2. Employee Relations
- Key contact for employees and managers regarding HR questions / HRIS support, including responding to HR support inbox.
- Find solutions to employee inquiries and know when to escalate questions and issues appropriately.
- Foster positive employee relations by promoting a supportive and inclusive work environment.
3. Benefits Administration
- Assist employees with benefit enrollment, changes, and inquiries.
- Process employee benefit enrollment as needed.
- Support administration of employee benefit programs and coordinate with various benefit carriers.
- Process and track employee FMLA and disability leave paperwork and process.
4. Records Management
- Maintain accurate and up-to-date employee electronic and hardcopy records.
- Assist with migration of electronic records into HRIS.
- Ensure compliance with data protection regulations and confidentiality standards when handling sensitive employee information.
5. Compliance
- Assist with monthly, quarterly, and annual EEO and Affirmative Action reports and policy updates.
- Maintain up to date labor postings in all offices and provide required annual notices to employees.
- Ensure employees are up to date on required federal and/or state training.
6. Other HR Administration and Reporting
- Process all employee demographic / employment / pay changes in HRIS.
- Process all department forms as needed.
- Administrative support on employee immigration processes.
- Create/maintain employee HR documents and materials.
- Regular updates of various lists and reports; creation of various business/HR diagrams and charts for company use.
- Coordination/registration for HR internal and external events.
- Assist HR department and provide administration/coordination on various HR projects as needed.

Qualifications:
- Minimum of 1 year experience in an HR administrative role, or administrative role with HR functions.
- Associate’s or Bachelor’s degree in human resources, business administration, or a related field preferred, or additional experience in lieu of education.
- Intermediate level or higher with Microsoft Word, Excel, PowerPoint and Outlook.
- Experience with or interest in learning HR principles, practices, and regulations.
- Prior experience with HRIS / business software, or ability to learn new software quickly.
