Job Types: Full-time. Monday – Friday from 8am – 430pm. Weekends and holidays as needed. Hours may vary based on the needs of the facility.

The Staffing Coordinator with Administrative Duties is responsible for:
- Writing and distributing mail, emails, correspondence memos, letters, faxes, and forms.
- Assisting in the preparation of reports.
- Booking travel arrangements.
- Responsible for analysis of all medical records, whether inpatient or discharges; for completing, accuracy, and quality.
- Assists and participates in accrediting agencies and/or Department of Health Surveys as far as the medical record scope of practice delineates.
- Responsible for reading all plans for Safety, Infection Control, Corporate Compliance, Fire and Emergency as established by either this department and/or facility and for knowing the responsibilities in conjunction with the plans, policies, and procedures as defined there within.
- Responsible for receptionist duties and general office duties, including but not limited to, answering phones, and directing calls, referring visitors to the appropriate staff/residents.
- Responsible for ordering and maintaining office supply levels (paper, printer, pens, stationary, staples, etc.
- Provide guidance and support for training, planning, coordination, and process solutions for all departments when applicable.
- Establishes staffing patterns and schedules for department staffing.
- Works with human resources to advise them of staffing needs and other information necessary for the smooth flow of work regarding employees.
- Interprets human resource policies for staff.
- Participates in in-service training and is educated on Aicota policy and procedure.
- Assists in securing staff for absences, leaves, etc., adjusting schedules as required.
- Ensures daily worksheets for staffing are printed and posted per regulation.
- Maintains records on vacations, holidays, excused and unexcused absences.
- Reports concerns from staff to directors.
- Works with Department Directors to schedule training classes.
- Assists with timecard approvals for payroll.
- Performs timecard audits to ensure time accurately reflects time worked for staff.
- Assists with coordination of recruitment events including planning, coordination, and occasionally facilitating.
- Assists with facility orientation.
- Maintains employee contact information.
- All other duties as assigned.
- Labor Management.
Required Skills/Abilities:
- Must be able to communicate (both verbally and in writing) needs of the facility to Directors and Supervisors.
- Must be dependable, cooperative, organized, and be able to work independently.
- Good typing and mathematics skills.
- Must possess sensitivity in understanding employees' needs while maintaining a sense of balance to ensure that staffing requirements are met for the facility.
- Must be able to maintain confidentiality of records and information received.
- Must be able to work with frequent disruptions throughout the day.
- Must maintain good working relationships with staff members and community representatives.
Education and Experience
- High school diploma or equivalent required.
- Knowledge of basic computer systems, including Microsoft Word and Excel required.
- Knowledge of medical terminology and coding strongly preferred.
- Experience in staff scheduling.
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
- Some bending and reaching.
- Must be able to lift up to 15 pounds at times.
