Under occasional supervision, performs routine to moderately complex administrative, secretarial and clerical work in support of effective and efficient department operations. Provides professional and courteous assistance to the public. Performs related work as required. Reports to the Human Resources Director.

ESSENTIAL JOB FUNCTIONSPerforms responsible administrative and secretarial duties in support of the division Manager and other staff, including but not limited to composing routine correspondence for others’ signature, typing routine and confidential memos and correspondence, compiling data for reports, maintaining filing systems, scheduling appointments and meetings, etc.Responsible for internal record retention on all employee files as we move to digital filing.Anticipates and prepares materials needed by supervisor and staff for meetings and decision-making purposes.Prepares the necessary paperwork and documentation required for employee recruitment, selection, termination and other personnel actions.Prepares and distributes job listings; receives and processes employment applications.Enters and retrieves employee information in computer database; maintains employee personnel files; updates information as required.Assists in planning and organizing employee programs and events.Receives, receipts and records insurance payments.Answers the telephone; screens callers; provides information as requested or forwards calls to appropriate staff person; takes messages as necessary; greets and assists office visitors.Provides routine clerical support, including but not limited to processing daily mail, ordering supplies, copying and filing documents, sending and receiving faxes, etc.Receives and responds to employee inquiries, concerns and complaints regarding personnel policies and procedures and department services.Receives and reviews a variety of documents, including personnel action requests, employment applications, resumes, Equal Employment Opportunity forms, etc.Refers to policy and procedure manuals, laws, regulations, codes and ordinances, computer manuals, training manuals, safety manuals, insurance guides, etc.Operates a variety of equipment such as a computer, printer, fax machine, copier, calculator, telephone, etc.Uses computer and clerical supplies.Interacts and communicates with various groups and individuals such as the immediate supervisor, other County department/division heads and employees, retirees, sales representatives, various government agencies, and the general public.NON-ESSENTIAL JOB FUNCTIONSAssists other administrative and clerical personnel as needed.Performs related duties as required.
