JOB SUMMARY: This position reviews all files for hearing and provides administrative support to all judges as needed.

JOB DUTIES AND RESPONSIBILITIES: Note: The list below is not comprehensive; this job is also responsible for other duties as assigned.1. Document Review - The incumbent reviews all files for completeness and accuracy prior to all hearings. This requires understanding which forms are needed for each step of the process for probate, involuntary commitments, guardianships and conservatorship matters. The incumbent will coordinate with the appropriate clerical staff members to ensure the completeness and accuracy of the files.2. Administrative Duties - This position schedules hearing dates with attorneys and clients and sends notices to al interested parties. Any changes in schedule will be handled by the incumbent. This involves staying in contact with attorneys on case status and also giving guidance to them on Court policy and procedure. When cases are transferred to this Court from other counties the incumbent will coordinate with those offices as well as the Probate Judge to ensure a smooth transition.3. Court Reporter - This position is responsible for transcribing all court hearings. It is necessary to understand legal terminology as well as courtroom procedure in order to be accurate.4. Customer Service - From time to time, the incumbent will assist all office staff in receiving the public and opening up new case files after conducting the appropriate interview. This includes matter of probate as well as involuntary commitment, guardianship and conservatorship.This position works with limited supervision because the incumbent is expected to have the experience required to determine when case files are complete and accurate. Issues as a result of conflict will be resolved by the Judge unless the incumbent is able to have an attorney intervene. the challenge for this position is the movement from one area to another on a routine basis - Administrative two days/week, Records Management two days/week and Estates 1 day per week in addition to supporting Guardian/Conservatorship as needed.Disclaimer: This job description is intended to describe the general nature and level of work expected of this job.
