POSITION PURPOSE
The Office Administrative Assistant will handle general office tasks such as accounting support and various administrative functions as assistance as needed.
Essential Functions
Essential functions include the following. Other duties may be assigned.
· Maintain organization and professionalism of office common spaces and storage areas.
· Manage incoming and outgoing mail.
· Create daily logs of checks that have been received from members.
· Maintain internal filing system for the organization.
· Work closely with Member Services Coordinator to maintain Noah databases for the organization and its members, including adding new clients and updating client information.
· Process and organize annual Aim membership dues, affiliate group dues, and event attendees’ fees.
· Assist with event matters as needed including badges.
· Provide support for other staff members as directed by the Chief Administrative & Development Officer.
· Other duties as assigned.
QUALIFICATION REQUIREMENTS
EDUCATION and/or EXPERIENCE
· Associate’s Degree required, or an equivalent combination of education and experience.
· 3-5 years or working with a database or related experience.
KNOWLEDGE, SKILLS, and ABILITIES
· Excellent verbal and written communication skills.
· Excellent customer service skills.
· Organizational and time management skills.
· Attention to detail.
· Ability to communicate with employees at all levels of the organizations, members, and affiliate officers.
· Strong analytical aptitude.
TECHNICAL/COMPUTER SKILLS
· Ability to effectively use email (MS Outlook) and MS Office software programs, as necessary.
· Ability to maintain database.
· Ability and willingness to effectively use other job-related technology tools, including but not limited to:
o Image scanners, fax machines, and photocopiers; and
o Multi-Line Phone System.
PHYSICAL DEMANDS
· Ability to stand 1/3 to 2/3 of the time.
· Ability to walk 1/3 to 2/3 of the time.
· Ability to sit over 2/3 of the time.
· Ability to talk or hear from 1/3 to 2/3 of the time.

WORK ENVIRONMENT:
· The work environment is that of a fast-paced office with minimal to high noise levels and moderate temperatures.
· This position requires working independently as well as part of a team.
· This position requires verbal and face-to-face contact with others on a daily basis.
· Frequent use of a computer, general office equipment, and/or personal device (e.g., cell phone, tablet) is necessary.
· The position requires client information to be maintained appropriately confidential.
Job Type: Part-time
Pay: $25.00 - $27.00 per hour
Expected hours: 20 per week
